Student answer (Band 8.0)

Dear Mr Smith,

I am writing to suggest some ways to improve the reception area of our company as you asked in your last email.

There have been many complaints from visitors who arrive about the reception area. Some complained it looks aesthetically dated, and there is not enough seating space, while others asked why there is no separate washroom for visitors, since they need to use the staff washroom.

In my view, a reception should provide a welcoming environment to the guests and should also reflect the values of our company. It should not feel too cramped and lack the basic services our customers deserve, since this can harm our company's reputation.

First, I suggest replacing the old large desk with a modern sleek desk to give a fresh look to the reception. Second, I think we should increase seating space by adding a couple of more chairs. Last, I suggest we could convert the adjacent supplies room into a modern washroom which can be designated only for visitors. I am sure all these changes will positively influence our visitors.

I hope you will consider my suggestions helpful.

Yours sincerely,

Rashpal Kaur

Task Achievement / Task Response — Band 8.0

You have successfully addressed all three bullet points required by the prompt. You clearly described the complaints regarding the dated aesthetic and lack of facilities, explained the importance of the reception area in terms of company reputation and guest experience, and provided three logical, actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager, and the purpose of the communication is clear from the outset. The ideas are well-developed and relevant to the context provided, demonstrating a strong understanding of the task requirements.

Coherence and Cohesion — Band 8.0

The letter is logically organized with a clear introduction, body paragraphs for each requirement, and a polite closing. You have used cohesive devices effectively, such as 'First', 'Second', and 'Last', which help the reader follow your suggestions easily. Paragraphing is used appropriately to separate the different aspects of the task. The flow of ideas is smooth, and the relationship between the complaints and the proposed solutions is well-connected. The use of referencing, such as 'these changes', effectively links the concluding paragraph back to the previous suggestions.

Lexical Resource — Band 7.5

You demonstrate a good range of vocabulary that is appropriate for a professional context. Phrases like 'aesthetically dated', 'welcoming environment', and 'positively influence' show a good command of language. While the vocabulary is functional and accurate, there is room to incorporate more sophisticated or idiomatic collocations to reach the highest band. The word choice is consistently precise, and there are no errors in spelling or word formation that impede communication. The language used is natural and fits the formal tone required for a letter to a manager.

Grammatical Range and Accuracy — Band 8.0

Your grammar is generally accurate, and you have used a mix of simple and complex sentence structures effectively. For example, the use of 'since' and 'while' to connect clauses demonstrates good control over complex sentence construction. There are very few errors, and those present do not interfere with meaning. Punctuation is used correctly throughout the letter. To improve further, you could experiment with a wider variety of complex structures, such as conditional sentences (e.g., 'If we were to implement these changes, we would likely see...') to add more nuance to your suggestions.
