Student answer (Band 6.0)

Dear Mr. Daniel,

I am writing to in regard to request to suggest ways to improve our reception hall due to the number of complaints made by the clients.

The complaints received has been so bad that caused us to lose some existing and intending customers to be discouraged to continue patronizing the company because it was being published in the Punch newspaper.

In all honesty, I believe the management has to improve on the reception office as soon as possible because it contributes some much to the growth of the company. This is because it is the first office to be seen whenever the present clients and the intending client arrive to when visiting the organization.

I would want to suggest some areas to work on to improve the reception hall. Firstly, there should be beautiful flowers at the entrance of the hall. Secondly, the painting should be changed to an attractive one in order to entice our visitors and make them more comfortable.

Thanks, as I believe the management would take necessary actions as soon as possible.

Yours faithfully,

Sarah.

Task Achievement / Task Response — Band 6.0

The letter addresses all three bullet points: describing the complaints, explaining the importance of the reception, and suggesting improvements. However, the development of these ideas is somewhat limited. For instance, the description of the complaints is vague, referring to them as 'so bad' without specific detail, and the mention of the Punch newspaper feels slightly disconnected from a standard workplace complaint scenario. The tone is generally appropriate for a letter to a manager, although the expression of ideas could be more professional and detailed to fully meet the requirements of a higher band.

Coherence and Cohesion — Band 6.5

The letter is logically organized into clear paragraphs, each serving a specific purpose. The use of cohesive devices such as 'Firstly' and 'Secondly' helps the reader follow the suggestions. However, some transitions are slightly mechanical or awkward, such as 'In all honesty' and the repetitive use of 'This is because'. The referencing is generally clear, though the flow between the introduction and the body paragraphs could be smoother. Overall, the structure is coherent and the message is easy to follow.

Lexical Resource — Band 6.0

The vocabulary is adequate for the task but lacks variety and precision. Phrases like 'so bad' and 'some much' are informal and imprecise. There is an attempt to use more formal language with words like 'patronizing' and 'organization', but some collocations are unnatural, such as 'intending customers' (potential customers) or 'reception hall' (reception area). To improve, you should focus on using more precise business-related vocabulary and avoiding repetitive or overly simplistic descriptors.

Grammatical Range and Accuracy — Band 5.5

The letter contains a mix of simple and complex sentence structures. There are several grammatical errors that occasionally impede the flow, such as subject-verb agreement issues ('The complaints received has been') and awkward phrasing ('I am writing to in regard to request to suggest'). Punctuation is generally functional, but the sentence construction often feels clunky. While the meaning is always clear, the frequency of these minor errors prevents the writing from reaching a higher band. Focusing on proofreading for basic agreement and preposition usage would be beneficial.
