Dear ................. ,

Student answer (Band 7.5)

I am writing to provide my suggestions about how the reception area of our office could be improved as we have been receiving numerous complaints from the visitors.

To begin with, many visitors complained that the seating area is very congested and also, there are not enough seats available as it can only accommodate five people at a time. Many clients are unsatisfied with the air conditioner in the reception area because it is noisy and it makes them impatient while waiting.

These complaints are very embarrassing and we should try to resolve this issue as soon as possible because it is affecting the reputation of our company. For any company, reception area showcases the first impression and it should be very attractive so that clients feel comfortable dealing with the team members as well.

Let me suggest how it can be improved. Firstly, we should replace the sofa sets that are in the reception area with chairs because sofa sets occupy more space than chairs. Moreover, the air conditioner which is making noise should either be replaced with a new one or you should get it repaired.

I hope you will like my suggestions and make changes in the reception area accordingly!

Yours faithfully,

Alex White

Task Achievement / Task Response — Band 7.5

You have successfully addressed all three bullet points in the prompt. You clearly described the complaints regarding the seating and the noisy air conditioner, explained the importance of the reception area as the company's 'first impression', and provided actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. The ideas are well-developed and relevant, and the response maintains a consistent focus on the task requirements throughout. To reach a higher band, you could provide slightly more detail on the impact of the current situation or elaborate further on the benefits of your proposed changes.

Coherence and Cohesion — Band 7.5

The letter is logically organized with a clear introduction, body paragraphs addressing specific points, and a professional closing. You use cohesive devices such as 'To begin with', 'Moreover', and 'Firstly' to guide the reader through your arguments. The paragraphing is appropriate, with each paragraph focusing on a distinct aspect of the task. The progression of ideas is smooth and easy to follow. To improve, ensure that you vary your linking words slightly more, as some transitions are quite standard. Overall, the structure is clear and supports the purpose of the letter effectively.

Lexical Resource — Band 7.0

You demonstrate an adequate range of vocabulary for the task, using terms like 'accommodate', 'unsatisfied', 'reputation', and 'showcases'. The language is natural and appropriate for a workplace context. While the vocabulary is functional and clear, it lacks a degree of sophistication or 'less common' lexical items that would push the score into the 8.0+ range. For instance, instead of 'noisy', you could use 'distracting' or 'obtrusive'. The word choices are accurate, and there are no spelling or collocation errors that impede communication, making your writing reliable and easy to understand.

Grammatical Range and Accuracy — Band 7.0

You use a mix of simple and complex sentence structures effectively. For example, 'I am writing to provide my suggestions about how the reception area of our office could be improved' is a well-constructed complex sentence. There are very few grammatical errors, and your punctuation is generally accurate. While your control is good, the range of complex structures is somewhat limited; incorporating more varied subordinate clauses or passive constructions could enhance the complexity. However, the majority of your sentences are error-free, and the communication is clear throughout the entire letter.
