Student answer (Band 6.5)
Dear Mr. Rishab,
I hope you are doing great. I am writing in response to your request to suggest some solutions for the improvement of the reception area.
Over the past few months, several complaints have been received regarding the reception area. One of the main complains is about inadequate and unclear signage to direct customer to their particular location. It creates confusion and unnecessary delays. Moreover, some people complain about having fewer servers at the counters during the peak times. Because they have to wait in a queue for a long time, this caused them frustration.
Since reception is first point of contact of our company, it must be attractive and supportive. This area plays an essential role in creating a social image and reputation of our company among the public. therefore, to grow effectively.
I would like to suggest a few resolutions that can help in the improvement of the area. Firstly, a clear signage should be installed to help customer to move around comfortably. In addition, during peak times all service counter should be working to answer individuals' inquiries.
Thank you for considering my opinion over this issue as a part of the team. I hope these comments might help.
Yours sincerely,
Rahul
Advice for Next Attempt
You have written a solid, task-compliant letter that effectively communicates your suggestions to your manager. Your strengths lie in your clear structure and your ability to address all parts of the prompt directly. To improve, focus on proofreading your work for small grammatical slips, particularly with pluralization (e.g., 'counter' vs 'counters') and uncountable nouns like 'signage'. Additionally, ensure that every sentence you write is a complete thought; avoid fragments like 'therefore, to grow effectively' by linking them to the main clause. Expanding your vocabulary to include more professional, business-oriented collocations will help elevate your writing style. Keep practicing by writing similar professional correspondence and reviewing your work for these specific types of errors.

Task Achievement / Task Response — Band 7.0
The letter successfully addresses all three bullet points of the prompt. You clearly describe the complaints regarding signage and staffing, explain the importance of the reception area as the company's 'first point of contact', and provide actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. The ideas are relevant and well-developed, though the final sentence of the second paragraph, 'therefore, to grow effectively', is a sentence fragment that lacks a clear connection to the preceding thought. Overall, the response is fully task-compliant and maintains a consistent professional position throughout.
Coherence and Cohesion — Band 7.0
The letter is logically organized with a clear introduction, body paragraphs, and a formal closing. Paragraphing is used effectively to separate the complaints from the suggestions. You use cohesive devices such as 'Moreover', 'Since', and 'Firstly' to guide the reader through the text. However, some transitions could be smoother; for instance, the link between the importance of the reception area and the subsequent suggestion paragraph is slightly abrupt. Referencing is generally clear, though the flow is occasionally interrupted by minor grammatical slips that affect the cohesion of individual sentences.
Lexical Resource — Band 6.5
You demonstrate an adequate range of vocabulary for the task, using professional terms like 'inquiries', 'reputation', and 'resolutions'. There are some minor errors in word choice and collocation, such as 'fewer servers' (when referring to reception staff, 'fewer staff members' or 'insufficient personnel' would be more natural) and 'clear signage should be installed' (signage is an uncountable noun, so 'some clear signage' or 'better signage' is preferred). While you attempt to use more sophisticated language, these occasional inaccuracies do not impede communication and are appropriate for a Band 6.5-7.0 level.
Grammatical Range and Accuracy — Band 6.0
You use a mix of simple and complex sentence structures. While many sentences are clear, there are recurring grammatical errors, such as pluralization issues ('customer' instead of 'customers', 'counter' instead of 'counters') and article usage ('the first point of contact'). There is also a sentence fragment in the second paragraph. Despite these errors, the meaning remains clear throughout the letter. To reach a higher band, focus on subject-verb agreement and ensuring that every sentence contains a clear subject and a finite verb to avoid fragments.
