Student answer (Band 7.5)

Dear Mr. Rishab,

I hope you are doing great. I am writing in response to your request to suggest some solutions for the improvement of the reception area.

Over the past few months, several complaints have been received regarding the reception area. One of the main complaints is about inadequate and unclear signage to direct customers to their particular location. It creates confusion and unnecessary delays. Moreover, some people complain about having fewer servers at the counters during the peak times. Because they have to wait in a queue for a long time, this causes them frustration.

Since the reception is a first point of contact of our company, it must be attractive and supportive. This area plays an essential role in creating a social image and reputation of our company among the public. Therefore, it must be improved to grow effectively.

I would like to suggest a few resolutions that can help in the improvement of the area. Firstly, a clear signage should be installed to help customers to move around comfortably. In addition, during peak times all service counters should be working to answer individuals' inquiries.

Thank you for considering my opinion over this issue as a part of the team. I hope these comments might help.

Yours sincerely,

Rahul

Task Achievement / Task Response — Band 7.5

The response successfully addresses all three bullet points of the prompt. You clearly describe the complaints regarding signage and staffing, explain the importance of the reception area as the company's 'first point of contact,' and provide actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. The ideas are relevant and well-developed, ensuring the reader understands the context and the proposed solutions. To reach a higher band, you could provide slightly more detail on how the signage could be improved (e.g., digital directories) to further extend your ideas.

Coherence and Cohesion — Band 8.0

The letter is logically organized with a clear introduction, body paragraphs addressing specific points, and a professional closing. You use cohesive devices such as 'Moreover,' 'Since,' and 'Firstly' effectively to guide the reader through your arguments. Paragraphing is used appropriately to separate the complaints from the suggestions. The progression of ideas is smooth, and the relationship between the reception's importance and the need for improvement is well-linked. The structure is clear and easy to follow throughout the entire response.

Lexical Resource — Band 7.0

You demonstrate a sufficient range of vocabulary to convey your message with precision. Phrases like 'inadequate and unclear signage,' 'peak times,' and 'first point of contact' are well-chosen and contextually appropriate. There is a good attempt to use formal language suitable for a business setting. While the vocabulary is functional and accurate, it lacks some of the more sophisticated or idiomatic collocations that would characterize a higher band. However, there are no significant errors in word choice, and the language used is consistently natural and clear.

Grammatical Range and Accuracy — Band 7.5

The response displays a good mix of simple and complex sentence structures. You show control over grammar, with most sentences being error-free. For example, your use of conditional-like structures ('If... then' implied) and passive voice ('have been received') is accurate. There are minor slips, such as 'a clear signage' (signage is an uncountable noun, so 'clear signage' or 'a clear sign' would be better). Despite these very occasional minor errors, your control over punctuation and sentence construction is strong, and your meaning is never obscured.
