Student answer (Band 7.5)
Dear Mr. Davis,
I am writing to outline the recent complaints regarding our company's reception area and to propose practical solutions for improvement. Over the past few weeks, several visitors have expressed dissatisfaction with the current setup. The primary complaints focus on the lack of adequate seating bench, which forces the guests to stand during peak hours.
Additionally, visitors noted that the area feels claustrophobic, noisy due to poor layout. Single receptionist is often overwhelmed, resulting in long waiting times for registration of arrival or for basic questioning. The reception area is vital because it creates the first impression for our clients, partners, and prospective employees. It reflects our company's professionalism, organization, and core values.
If a visitor encounters a chaotic and uncomfortable environment upon arrival, it can negatively influence their confidence in our business before any official meeting even begins. To resolve these issues, I suggest implementing three key changes, expand the space by utilizing the small unused storage room adjacent to the lobby to enlarge the waiting area. Replacing the old furniture, modern comfortable seating and adding a small coffee station will enhance visitor comfort. Inclusion of new employees with part-time or full-time assistant during peak morning hours will streamline check-ins and reduce wait times.
I would be happy to discuss these proposals in detail at your earliest convenience.
Yours sincerely
Vedang

Task Achievement / Task Response — Band 8.0
You have fully addressed all three bullet points of the task. You clearly described the complaints regarding seating and noise, explained the importance of the reception area as a 'first impression' for clients, and provided three distinct, practical suggestions for improvement. The tone is professional and appropriate for a letter to a manager. The ideas are well-developed and logically presented, ensuring the reader understands both the problem and your proposed solutions. No parts of the prompt were omitted, and the response is well-focused throughout.
Coherence and Cohesion — Band 8.0
The letter is well-organized with a clear introduction, body paragraphs, and a closing. Ideas flow logically from the identification of problems to their significance and finally to the proposed solutions. You use cohesive devices effectively, such as 'Additionally,' 'If a visitor encounters,' and 'To resolve these issues,' which help guide the reader through your argument. Paragraphing is used appropriately to separate distinct topics. The progression of ideas is smooth, and the relationship between the complaints and the suggested improvements is clearly established.
Lexical Resource — Band 7.0
You demonstrate a good range of vocabulary appropriate for a formal business context, using terms like 'dissatisfaction,' 'claustrophobic,' 'streamline,' and 'prospective employees.' There are a few minor errors, such as 'lack of adequate seating bench' (should be 'seating' or 'benches') and 'Single receptionist' (needs an article: 'A single receptionist'). However, these do not impede communication. You show an ability to use less common vocabulary, which helps convey your message with precision. With more attention to articles and pluralization, your lexical control would be even stronger.
Grammatical Range and Accuracy — Band 7.0
You use a mix of simple and complex sentence structures effectively. There are some grammatical slips, such as the missing article in 'Single receptionist is often overwhelmed' and a punctuation error in 'To resolve these issues, I suggest implementing three key changes, expand the space...' where a colon or semicolon would be more appropriate than a comma. Despite these occasional errors, the majority of your sentences are error-free, and your meaning is always clear. The control of complex structures is generally good, and the errors do not cause any difficulty for the reader.
