Student answer (Band 8.0)

Dear Manager,

I am writing to suggest some improvements to the reception area following several complaints from visitors.

The main complaints are that the reception area is often crowded and untidy. Some visitors have also mentioned that there are not enough comfortable seats, while others have found it difficult to know where to go or whom to speak to. In addition, the waiting time can sometimes be quite long.

The reception area is extremely important because it is the first part of the company that visitors see. A clean, welcoming and well-organised reception creates a positive first impression and reflects the professionalism of our company.

I suggest providing more comfortable seating and adding clear signs to direct visitors. The area should also be cleaned regularly and decorated with some plants. Finally, an additional receptionist could be available during busy periods to reduce waiting times.

I hope you will consider these suggestions.

Yours sincerely,

Keith

Task Achievement / Task Response — Band 8.0

The response fully addresses all three bullet points required by the prompt. You clearly describe the complaints regarding crowding, tidiness, and seating, explain the importance of the reception as a 'first impression' for the company, and provide actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager, and the purpose of the communication is clear from the outset. The ideas are well-developed and relevant, meeting all the requirements of the task effectively.

Coherence and Cohesion — Band 8.0

The letter is logically organized with a clear structure. Each paragraph focuses on a specific aspect of the prompt, which aids readability. You use effective cohesive devices such as 'In addition', 'Finally', and 'because' to link ideas smoothly. The progression of information from the problem to the justification and then to the proposed solutions is logical and easy to follow. Paragraphing is used appropriately to separate the different sections of the letter.

Lexical Resource — Band 7.5

You demonstrate a good range of vocabulary suitable for a professional context. Phrases like 'positive first impression', 'reflects the professionalism', and 'well-organised' are used accurately. The language is natural and precise throughout the letter. While the vocabulary is functional and effective, it stays within a standard range; incorporating a few more sophisticated or idiomatic business-related collocations could elevate the score further, but the current usage is error-free and fits the context perfectly.

Grammatical Range and Accuracy — Band 8.0

The grammar is highly accurate with no noticeable errors. You use a mix of simple and complex sentence structures effectively, such as 'Some visitors have also mentioned that there are not enough comfortable seats, while others have found it difficult to know where to go'. Punctuation is used correctly throughout. The control over sentence construction is strong, and the writing flows well without any grammatical slips that would impede the reader's understanding.
