Student answer (Band 6.0)

Dear Mr. Davis,

I am writing this letter to bring your attention on persistent complaints regarding our front reception area. Typically, I have some suggestions and practical solutions to resolve the issue.

For the past weeks, multiple visitors have complained about different issues faced by them such as lack of seating area and the dim lighting of the main hall. It has made customers to stand until they are called up for their appointment. Moreover, the lighting is quite dim and has made the vibe a bit off in accordance to the reception area.

Mainly, the reception area is representing our company and if the customers are facing difficulties in seating area or the lighting system. However, it may damage the reputation of our business. I have few suggestions that can reduce the complaints. For example, installing LED lights in the reception hall and removing a big table of no use with a sofa set to increase the seating area.

Lastly, I think we should remove excess plants from the reception entry and try placing an indoor plants which covers less space. Furthermore, we can install a bell at the table and the customer can ring the bell and wait for their assistance. Therefore, it would eliminate the chance of missing out in attending a customer.

I hope my suggestion help in improving our workplace environment.

Looking forward to a response.

Yours faithfully,

Harman

Task Achievement / Task Response — Band 6.5

The response addresses all three bullet points of the prompt effectively. You clearly describe the complaints regarding seating and lighting, explain the importance of the reception area as the 'face' of the company, and provide actionable suggestions for improvement. The tone is appropriate for a formal letter to a manager. The ideas are well-developed and relevant, providing a clear structure that follows the requirements of the task. To reach a higher band, ensure that the connection between the importance of the reception area and the proposed solutions is more explicitly linked to the company's professional image.

Coherence and Cohesion — Band 6.0

The letter is logically organized with a clear introduction, body paragraphs, and a closing. Each paragraph focuses on a specific aspect of the prompt, which helps the reader follow your argument. You use cohesive devices such as 'Moreover', 'Mainly', and 'Furthermore' to link your ideas. However, some transitions are slightly mechanical or misused, such as 'However' in the third paragraph, which does not logically contrast the preceding sentence. Improving the variety and natural flow of these linking words would enhance the overall coherence of the letter.

Lexical Resource — Band 5.5

You demonstrate an adequate range of vocabulary for the task, using terms like 'persistent complaints', 'reputation', and 'assistance'. There are some minor inaccuracies in word choice, such as 'vibe a bit off' (too informal) and 'in accordance to' (incorrect collocation). Additionally, 'representing our company' could be more precisely phrased as 'reflecting our company's values'. While the vocabulary is sufficient to convey your meaning clearly, incorporating more precise, professional collocations would elevate the quality of your writing.

Grammatical Range and Accuracy — Band 5.5

The letter uses a mix of simple and complex sentence structures. There are several grammatical errors, such as 'bring your attention on' (should be 'to'), 'made customers to stand' (should be 'made customers stand'), and 'I have few suggestions' (should be 'a few'). While these errors are noticeable, they do not impede communication. To improve, focus on verb patterns (e.g., 'make someone do something') and correct preposition usage. The punctuation is generally accurate, and the letter maintains a consistent formal tone throughout.
