Dear ................. ,
Student answer (Band 7.0)
Dear Mr. Patel,
I am writing to provide suggestions on how could we improve our reception area. The main complaints we received were about seating capacity and poor quality of cleanliness.
Firstly, we have our business across the world. Our clients are from different parts of the world, and having a clean reception area shows a strong initial impression. The reception area is the face of our business and attracts customers and clients.
Secondly, I believe we should add more sofas and chairs in the reception area, so everyone can wait comfortably. While the walls and doors have dust around them, this problem could be solved by having a cleaner everyday. The cleaner’s main responsibility would be to keep the place clean and help the clients. I suggest having a coffee machine is beneficial too.
I would therefore request you to order new sofas and chairs. Should you require any further information, I have enclosed a few options to consider and would be very happy to assist further.
I look forward to hearing from you.
Yours faithfully,
Neel Desai.

Task Achievement / Task Response — Band 7.0
The response successfully addresses all three bullet points of the prompt. You clearly identify the complaints regarding seating and cleanliness, explain the importance of the reception area as the 'face of the business', and provide actionable suggestions like adding furniture and hiring a cleaner. The tone is appropriate for a formal letter to a manager. To reach a higher band, you could further develop your ideas by explaining the impact of these improvements on client retention or employee morale, rather than just listing the suggestions. Overall, the task is fully addressed with a clear and consistent purpose.
Coherence and Cohesion — Band 7.0
The letter is logically organized with a clear introduction, body paragraphs, and a formal closing. You use basic cohesive devices such as 'Firstly', 'Secondly', and 'I would therefore request' to guide the reader through your points. The paragraphing is appropriate, with each paragraph focusing on a distinct aspect of the task. To improve, you could vary your linking words further and ensure that the transition between the importance of the reception and the specific suggestions is smoother. The current structure is clear and easy to follow throughout the text.
Lexical Resource — Band 6.5
You demonstrate an adequate range of vocabulary for the task, using terms like 'seating capacity', 'initial impression', and 'beneficial'. The language is generally natural and appropriate for a professional context. However, there are some minor issues with collocation, such as 'we have our business across the world', which could be phrased more naturally as 'we have a global presence'. To move into the higher bands, try to incorporate more precise or sophisticated vocabulary, such as 'professional image' instead of 'face of our business' or 'mitigate' instead of 'solve'.
Grammatical Range and Accuracy — Band 6.5
The response uses a mix of simple and complex sentence structures. Most sentences are clear and grammatically sound, though there are occasional slips, such as 'how could we improve' (should be 'how we could improve' in an indirect question) and 'having a coffee machine is beneficial too' (which is slightly awkward). Punctuation is generally accurate, and your control over the formal letter format is good. To achieve a higher score, ensure that complex sentence structures are used with greater precision and aim for a higher frequency of error-free sentences.
