Student answer (Band 6.0)

Dear Mr. Sharma,

I am writing to you in response to your request seeking advice to improve the service at reception desk where normally outsiders complaining while they entered. I would like to suggest you some sort of improvements should needed for that particular area.

There are few complaints usually visitors are doing regularly like they have to wait more than hour to express their purposes at reception due to less staff availability. secondly, they are giving negative views on sitting area in the waiting hall along with drinking water facility they are not satisfying with.

I think you should pay your attention on these matters without any delay since this area considered as a first impression on the clients about our company. If they will not happy enough with welcoming services, then may company will face problems like decline in its reputation among visitors.

I would like to suggest you could you please hire more reception staffs so outsiders can access fast service also, could you please extend sitting facility by introduce extra chairs so visitors can do some relax while waiting for their turn.

I hope these insights will help you to minimise visitors concerns.

Yours sincerely,

Bhagwant Kaur.

Task Achievement / Task Response — Band 6.0

The letter addresses all three bullet points of the prompt: describing complaints, explaining the importance of the reception area, and suggesting improvements. The tone is appropriate for a formal letter to a manager. However, the development of ideas is somewhat limited. For instance, the suggestions for improvement are quite brief and could be expanded with more specific details or justifications to fully meet the requirements of a higher band. The purpose of the letter is clear, and the response maintains a consistent focus throughout.

Coherence and Cohesion — Band 6.0

The letter is organized into clear paragraphs, which helps the reader follow the progression of ideas. There is a logical flow from the introduction to the complaints, the importance of the area, and finally the suggestions. However, the use of cohesive devices is somewhat mechanical and occasionally inaccurate, such as the awkward transition 'secondly, they are giving negative views'. Some sentences are slightly disjointed, and the referencing is occasionally unclear, which prevents the writing from achieving a higher level of fluency and cohesion.

Lexical Resource — Band 6.0

The vocabulary used is generally adequate for the task, allowing the message to be conveyed clearly. There are attempts to use more formal language, such as 'minimise visitors concerns' and 'reputation', but there are also instances of awkward phrasing and word choice errors, such as 'outsiders complaining while they entered' and 'do some relax'. These errors do not impede communication, but they demonstrate a limited range and a lack of precision in collocation, which is characteristic of a band 6 level.

Grammatical Range and Accuracy — Band 5.5

The response contains a mix of simple and complex sentence structures. While the meaning is generally clear, there are frequent grammatical errors, particularly with verb tense consistency, article usage, and sentence construction (e.g., 'some sort of improvements should needed', 'may company will face problems', and 'by introduce extra chairs'). These errors are noticeable and occur throughout the text. While they rarely impede communication, they indicate a lack of control over more complex grammatical structures, which limits the score for this criterion.
