Student answer (Band 6.0)

Dear Sir,

I hope this letter finds you well.

I am formally writing in response of your e-mail in which you have asked suggestions to improve reception area. In last couple of months we have been receiving complaints about our reception. Most of the complaints were regarding the absence of receptionist on the desk and during peak hours receptionist was not able to deal the number of visitors due to which they have to wait for long time.

The reception is an important area of any firm as it welcomes the visitor and leave good or bad impact on him. If a visitor is not feel comfortable and welcomed on the entrance than he will hesitate to trust us and try to find the alternate.

I suggest you to hire at least three receptionists, working in shifts. In addition, we should keep some magazines and reading stuff so that they will not feel bore and install a digital token system by which customer should be aware of waiting time. In this way we can welcome the visitors in good manner.

Thank you in advance.

Yours sincerely,

Fatima Khan.

Task Achievement / Task Response — Band 6.5

The letter covers all three bullet points required by the prompt: describing the complaints, explaining the importance of the reception area, and suggesting improvements. The tone is appropriate for a formal letter to a manager. However, the development of ideas is somewhat basic. For instance, the suggestion to 'hire at least three receptionists' is a significant operational change that could have been supported with more detail regarding the budget or current staffing levels to make the proposal more persuasive. The response is clear and maintains a consistent focus throughout, fulfilling the requirements of the task effectively.

Coherence and Cohesion — Band 6.0

The letter is logically organized into three clear paragraphs, each addressing a specific requirement of the prompt. The progression of ideas is easy to follow. Cohesive devices are used, such as 'In addition' and 'In this way', though the range is somewhat limited. Some transitions feel slightly mechanical, and there are minor issues with referencing, such as the use of 'they' in the final paragraph, which is intended to refer to visitors but is slightly ambiguous due to the preceding mention of magazines. Overall, the paragraphing is sufficient and the flow of information is logical.

Lexical Resource — Band 5.5

The vocabulary is generally adequate for the task, allowing the writer to convey their message clearly. There are some attempts at less common vocabulary, such as 'formally writing' and 'peak hours'. However, there are several instances of awkward word choice and collocation errors, such as 'deal the number of visitors' (should be 'deal with'), 'leave good or bad impact' (should be 'leave a good or bad impression'), and 'reading stuff' (which is too informal). These errors do not impede communication, but they do limit the precision and sophistication of the writing.

Grammatical Range and Accuracy — Band 5.5

The response uses a mix of simple and complex sentence structures. While the meaning is generally clear, there are frequent grammatical errors, particularly with articles ('the reception area', 'the entrance') and prepositions ('in response of' should be 'in response to'). There are also issues with verb forms and agreement, such as 'if a visitor is not feel comfortable' (should be 'does not feel') and 'they will not feel bore' (should be 'bored'). Despite these errors, the writer demonstrates an ability to construct complex sentences, and the errors rarely cause confusion for the reader.
