Student answer (Band 8.0)

Dear Sir or Madam,

I hope you are well. I am writing to suggest some possible solutions to improve our company's reception area.

Several customers have complained about insufficient seating arrangements and the air conditioning, which does not work properly. When our business partners visit with their team members, we often do not have enough chairs to offer everyone a seat. This makes visitors feel uncomfortable while waiting.

Undoubtedly, the reception area leaves a lasting impression on visitors about the company's standards. Therefore, it should be clean, comfortable and well maintained at all times. A welcoming reception area can create a positive first impression and reflect the professionalism of our company.

To resolve the seating problem, I suggest adding more comfortable chairs to the waiting area. Moreover, the air conditioner could be replaced with a new and efficient one. It should also be serviced regularly to ensure that the reception area remains cool, particularly during summer.

By addressing these issues, we can reduce complaints and create a more pleasant environment for visitors. I hope you will consider my suggestions.

Yours sincerely,

Suman

Task Achievement / Task Response — Band 8.0

The response fully addresses all parts of the task prompt in a clear and effective manner. For the first bullet point, the student accurately describes the specific complaints regarding 'insufficient seating arrangements and the air conditioning'. For the second bullet point, the candidate explains why the reception area is important by noting that it 'leaves a lasting impression on visitors about the company's standards' and reflects its professionalism. For the final bullet point, practical suggestions are provided, including 'adding more comfortable chairs' and replacing or servicing the air conditioner. The tone is appropriate for a formal letter to a manager, and the ideas are well-developed and fully supported throughout the text.

Coherence and Cohesion — Band 8.0

The letter exhibits a clear logical organisation and progression from introduction to problem description, importance, recommendations, and conclusion. Ideas are logically sequenced, and paragraphing is used sufficiently and appropriately, with each paragraph serving a distinct function. Cohesive devices are handled well and appropriately throughout the text, as seen with transition words like 'Therefore', 'Moreover', and 'By addressing these issues'. Referencing and substitution are clear and accurate, meaning that the progression of ideas is easy to follow without any mechanical or confusing transitions.

Lexical Resource — Band 7.0

The student demonstrates a sufficient and appropriate range of vocabulary for a general workplace correspondence task, utilizing less common items with some awareness of style and collocation, such as 'insufficient seating arrangements', 'lasting impression', and 'professionalism'. Word choice is generally precise and natural, with expressions like 'pleasant environment' and 'serviced regularly'. There are no spelling or word-choice errors that impede communication, and the vocabulary is well-suited to conveying the formal tone required for a letter to a manager.

Grammatical Range and Accuracy — Band 8.0

The writer uses a good variety of sentence structures, successfully integrating both simple and complex forms. Examples of complex structures include relative clauses and adverbial clauses, such as 'the air conditioning, which does not work properly' and 'When our business partners visit with their team members, we often do not have enough chairs'. The majority of sentences are error-free, and punctuation is handled correctly throughout. Grammar and control are strong, reflecting a high level of accuracy appropriate for an upper-intermediate to advanced user.
