Student answer (Band 7.5)

Dear Tom Anderson,

I am glad that you have taken this initiative to improve the reception area. There has been various complaints about the reception area, particularly about a seepage above the front-desk and the air-conditioner not working.

The reception is the entrypoint for all customers and I would like to emphasize on the significance of the reception area as it reflects the company image and it is the first impression that the clients make when they enter the office of the company. Not only does it make them feel good about the company, it also leaves a lasting impression which results in positive feedback about the company.

I would urge you to reach out to few contractors to get quotations to get the seepage issue resolved. Also, I authorise you to get the air-conditioner repaired as early as possible through our registered vendor. I suggest that we should also improve the aesthetics of the reception area, while we are at it. Please contact an interior designer for some suggestions.

Feel free to reach out to me whenever needed on this matter.

Yours sincerely,

Adam Gilbert

Task Achievement / Task Response — Band 8.0

The response fully covers all parts of the task prompt. You successfully described the complaints made by mentioning the seepage above the front desk and the broken air-conditioner. You also clearly explained why the reception area is important, noting that it represents the company image and provides the first impression for clients. Furthermore, you offered practical suggestions for improvement, such as contacting contractors for the seepage, repairing the air-conditioner, and consulting an interior designer. The tone of the letter is appropriate for a professional setting, and the purpose is clear from the beginning. Ideas are well-developed and relevant throughout.

Coherence and Cohesion — Band 8.0

The letter is logically organized and easy to follow. Each paragraph has a clear focus: the first introduces the purpose and describes the complaints, the second explains the importance of the reception area, and the third provides actionable solutions. Cohesive devices such as 'particularly', 'Not only does it...', and 'Also' are used effectively to connect ideas. Paragraphing is used appropriately to structure the letter logically. Referencing is clear, and the overall progression of the message flows naturally from the problem to the justification and finally to the solutions.

Lexical Resource — Band 6.5

You demonstrate an adequate and generally appropriate range of vocabulary for a workplace setting, using terms such as 'initiative', 'seepage', 'significance', and 'aesthetics'. However, there is a minor grammatical agreement error with lexical items ('There has been various complaints' instead of 'There have been'), and a slight misuse of prepositions ('emphasize on the significance' where 'emphasize the significance' is standard). Despite these occasional slips, the vocabulary is sufficient to convey your points clearly and accurately, showing an ability to use less common workplace vocabulary.

Grammatical Range and Accuracy — Band 7.0

The response features a mix of simple and complex sentence structures, such as conditional and relative clauses ('Not only does it make them feel good about the company, it also leaves a lasting impression...'). Punctuation is generally good, and sentences are well-structured. There are a few grammatical inaccuracies, notably subject-verb agreement ('There has been various complaints' instead of 'There have been') and an unnecessary preposition ('emphasize on'). Nonetheless, the majority of sentences are error-free, and these minor slips do not impede communication at all, showing good control over basic and complex structures.
