Dear Sir or Madam,

I am writing this letter in response to the complaints regarding the reception area of our office, and keen to provide some suggestions for its improvement. First and foremost, the most common complaint by the visitors is about the seating arrangement of waiting area in reception. The sofas are very old, and seats are extremely uncomfortable for long sitting. The second major complaint is regarding the absence of map of our company. Visitors find it very difficult to look for their go through locations without guidelines. Furthermore, the water system in reception area is not providing cold and hot water options.

The reception area decides the first impression of any company. It is the only place where all the visitors can sit and wait for their appointments, and even can do some informal meetings. So, the reception area should be always neat and clean alongwith easy access to every information.

Here, I would like to share some points which our company can implement to cover all the complaints. All the seating arrangements can be changed to make the waiting area comfortable. Moreover, the new R.O system should installed with the easy accessible options of hot, cold, and normal water. In addition, digital map system should also be installed so that it would be easy for all the outsiders to check their desired location smoothly.
