There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear John,
I am writing to suggest you how the reception area could be improved as there have been many complaints from our visitors.
The visitors often say that there are no arrangements for sitting so they have to stand for longer period of time. The air conditioner is not working properly as well as only one fan is available so it is very difficult to stand there in summer. Additionally, this area smells horrible.
The reception area should be neat and tidy because by looking that area people make assumptions about the company. This area plays an important role in making impression about the company. If this area does not seems good then people will not like to work with the comapny where management or staff members are not serious about their client's comfort.
To improve this, we need a sitting arrangement so that visitors can sit properly and wait. We can install a window so that it does not smell bad as well as proper ventilation can maintained. We can arrange an extra table fan and can make sure that the air conditioner is working properly by regular service follow ups.
