Student answer (Band 6.0)
Dear John,
Since you asked me to suggest how the reception area could be improved, i will write about the current complaints, why we care about the area and how to resolve all the complaints.
The main complaints are from the visitor's and there are some from our reception duty staff's
I will list out some of the main complaint's that needs immediate attention to:
1. The loby doesn't have enough area to sit or wait while the visitor's wait for appointment with different department.
2.The sunlight from outside directly hits to reception desk, affecting our staff's view.
3.The desks are dirty .
4.There is no drinking water available.
Well the reception area is more important beacuse it creates the first impression in our visitors.
It shows how well of a company we are. A visitor should be able to tell good things about our company about the time they spend here.
Now i will suggest ways to solve the complaints i mentioned above one by one.
1.We need to introduce more chairs and sofas for seating.
2.During sunny hours we could introduce curtains or blinds so that it prevents from effecting our staffs.
3.The cleaning staff should be trained and educated on how important it is to maintain clean environment, also a suprevisor can be appointed .
4.A drinking water dispenser and a soft drink dispenser can be introduced into any corner of the lobby.
I hope that i have mentioned main complaints and its solutions and wish we could solve all these issues one by one. I also wanted to help you in getiing these ready .
Yours faithfully
Khan

Task Achievement / Task Response — Band 6.5
The candidate has successfully covered all three bullet points required in the task instructions. The letter clearly describes the complaints regarding the reception area, such as insufficient seating, glare from sunlight, dirty desks, and a lack of drinking water. It also highlights the importance of the reception area in creating a positive first impression of the company for visitors. Furthermore, practical suggestions are provided to resolve each of these issues, including adding chairs and sofas, installing blinds or curtains, training the cleaning staff, and setting up a water dispenser. The tone is appropriate for a workplace communication addressed to a manager, and all aspects of the task are fully addressed with relevant, well-developed ideas.
Coherence and Cohesion — Band 6.0
The letter has a clear overall progression and logical organisation. The writer uses an introduction to state the purpose of the letter, followed by distinct sections addressing complaints, the importance of the area, and proposed solutions. Cohesive devices are used adequately to guide the reader through the points, such as numbered lists and transitional phrases like 'Now i will suggest' and 'Well the reception area'. However, paragraphing is somewhat fragmented with many single-sentence paragraphs, and some referencing and mechanical linking could be improved. Overall, the message is easy to follow, representing solid organisational skills.
Lexical Resource — Band 6.0
The candidate demonstrates an adequate range of vocabulary for the task, successfully communicating ideas related to office management and customer service. Words such as 'reception', 'appointment', 'immediate attention', and 'supervisor' are used accurately. However, there are some minor word-form errors and unnatural collocations, such as 'visitor's' instead of 'visitors', 'lobbby', and 'how well of a company we are'. Less common lexical items are attempted, but occasional inaccuracies in word choice prevent the score from reaching a higher band. Communication is never impeded by these lexical slips.
Grammatical Range and Accuracy — Band 5.5
The writer attempts a mix of simple and complex sentence forms, demonstrating control over standard structures like conditional and modal clauses (e.g., 'During sunny hours we could introduce curtains or blinds so that it prevents from effecting our staffs'). However, there are noticeable grammatical and punctuation errors throughout the text, including lowercase 'i', missing apostrophes or misplaced possessive apostrophes (e.g., 'visitor's', 'complaint's', 'staff's'), and minor prepositional inaccuracies ('hits to', 'effecting our staffs'). While these errors are frequent, they do not impede communication, allowing the reader to easily understand the intended meaning.
