Student answer (Band 7.0)

Dear Stacey,

I hope you are doing well.

I am writing to let you know about the complaints our visitors have been making from a couple of days. Firstly, our clients feel unattended most of the time because our front-desk staff are not present at the desk most of the time. Secondly, our welcome desk is not organised properly, customers were unable to find a paper and a pen to write something.

Reception is the main centre of attraction of any business unit. Before visiting any specific employee of the company, people ask a customer service representative. In addition, while paying any bill, they seek help from the front-line staff if they face any difficulties. So, the welcome desk is very much essential.

I would like to suggest a few solutions to this issue. We have to prepare a checklist of duties that our staff at desk have to do before starting and closing a shift, in this way, we might expect professionalism from them. Moreover, warning letters should be given to the staff if they leave the desk during peak hours without any purpose. I hope all these remedies could bring some improvements.

I am looking forward to meeting and discussing with you what could be done to improve our reception area.

Yours sincerely,

Anamika

Task Achievement / Task Response — Band 7.5

The response successfully covers all three bullet points required by the prompt. You clearly describe the complaints made by visitors, specifically noting that staff are frequently absent and the welcome desk is disorganised. You also explain why the reception area is important as the primary point of contact and assistance for clients. Furthermore, you suggest practical improvements, such as implementing a duties checklist and issuing warning letters for unauthorised absences. The tone is appropriate for a formal letter to a manager. Ideas are relevant and fully developed, meeting all requirements of the task effectively.

Coherence and Cohesion — Band 7.0

The letter is logically organised with a clear beginning, middle, and end, following standard correspondence conventions. Paragraphing is used appropriately to separate distinct ideas, such as the complaints in paragraph two, the importance in paragraph three, and the suggestions in paragraph four. Cohesive devices are employed reasonably well, using words like 'Firstly', 'Secondly', 'In addition', and 'Moreover' to guide the reader through the text. However, referencing and transitions could be slightly smoother in places, such as linking the transition between the reception's importance and your proposed solutions. Overall, progression is clear and easy to follow.

Lexical Resource — Band 6.5

You demonstrate an adequate and functional range of vocabulary suitable for a workplace context. Phrases like 'front-desk staff', 'centre of attraction', and 'checklist of duties' convey your meaning clearly. There are some minor lexical inaccuracies or awkward collocations, such as 'from a couple of days' instead of 'for a couple of days', and 'welcome desk is not organised properly' where 'tidy' or 'well-maintained' might sound more natural. Less common vocabulary is attempted with some success, though occasional word-choice slips prevent the vocabulary score from reaching higher bands. Communication is never impeded by these minor errors.

Grammatical Range and Accuracy — Band 6.5

The writing contains a good mix of simple and complex sentence forms. You successfully employ complex structures such as 'Before visiting any specific employee of the company, people ask a customer service representative' and 'We have to prepare a checklist of duties that our staff at desk have to do before starting and closing a shift'. There are some grammatical errors, such as missing articles ('staff at desk' instead of 'staff at the desk') and minor preposition issues. However, the majority of your sentences are clear, punctuation is handled adequately, and grammatical errors do not impede understanding.
