There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Mr. Dhaliwal,

I hope you are doing well. I am writing this letter to recommend you some amendments for our reception area as there have been numerous complaints reported about it for a couple of months.

To commence with, a major issue which is highlighted by our guests is the language barrier. Most of our customers are either English or French speakers. The sign boards at the entrance and throughout the premise is in English only, making it challenging for French speakers to understand it. They have to use translation apps for comprehension. Additionally, in the reception area, seating arrangement is not adequate. Visitors have to stand for long time to wait for their turn especially during Lunch break when the staff is limited.

I believe, the maintenance of the reception should be the priority task as reception is our first impression in the industry. If our reception is not impressive and fully facilitated, it would put a negative impact on the reputation of our firm. Furthermore, a reception is an information center of an organisation; therefore, its services should have to be top notch.

Given the circumstances, I would recommend you to introduce French language direction boards for visitors. Moreover, waiting area with plenty of seats should be constructed near the entrance for individuals who are waiting for their turns. Both of these initatives will improve our company's standards in the market.
