Student answer (Band 8.0)

Dear Mr Smith,

I am writing to suggest some improvements to the reception area, following several complaints from visitors and clients.

The main concerns are that the reception area often looks untidy and that there is insufficient seating for visitors during busy periods. Some visitors have also mentioned that the reception desk is difficult to identify, while others have complained about long waiting times. In addition, the lighting is rather poor, which makes the area appear less welcoming.

The reception area is particularly important because it creates the first impression of our company. A clean, comfortable and professional environment would make visitors feel more welcome and would reflect positively on our organisation.

I would suggest installing clearer signs, adding comfortable seating and improving the lighting. We could also introduce a visitor check-in system and ensure that the reception desk is adequately staffed during peak hours.

I hope you will consider these suggestions.

Yours sincerely,

Task Achievement / Task Response: Band 8.0

The response fully and effectively covers all three bullet points required by the prompt. You successfully describe the specific complaints, such as the area looking untidy, insufficient seating, difficult-to-identify reception desk, long waiting times, and poor lighting. Furthermore, you clearly explain the importance of the reception area by noting that it creates the first impression of the company and reflects positively on the organization. Finally, you provide clear and logical suggestions for improvement, including installing clearer signs, adding seating, improving lighting, and introducing a visitor check-in system. The register is appropriately formal and polite throughout, which fits the general training letter format well. All parts of the task are well developed and supported.

Coherence and Cohesion: Band 8.0

The letter demonstrates a clear logical organization and smooth progression throughout. Each paragraph serves a distinct purpose: an introduction stating the purpose of the letter, a body paragraph detailing the complaints, another explaining the importance of the area, a section outlining suggestions, and a polite sign-off. Cohesive devices such as 'The main concerns', 'while others', 'In addition', and 'The reception area is particularly important' are used naturally and effectively to guide the reader through the text. Paragraphing is used sufficiently and appropriately, ensuring that ideas are grouped logically and cohesively from start to finish.

Lexical Resource: Band 7.0

You demonstrate a sufficient and flexible range of vocabulary suited to a professional workplace context. Phrases like 'insufficient seating', 'adequately staffed', and 'creates the first impression' show good control of collocation and natural word choice. There are also attempts at less common lexical items such as 'untidy', 'welcoming', and 'peak hours'. Spelling and word choice are entirely accurate throughout the response. While it does not heavily feature rare academic idioms, the vocabulary is precise, natural, and completely appropriate for a workplace correspondence task, meeting the criteria for a solid band 7.

Grammatical Range and Accuracy: Band 8.0

The letter displays a very good range of grammatical structures with a high proportion of error-free sentences. You successfully combine simple and complex sentence forms, such as conditional or relative-type structures ('which makes the area appear less welcoming', 'that the reception desk is difficult to identify', and 'that would reflect positively on our organisation'). Control of punctuation, verb tenses, and agreement is consistently strong throughout the entire response. The minor errors mentioned in the lower bands are absent here, reflecting a high level of grammatical accuracy and natural control appropriate for a band 8 score.
