Student answer (Band 7.5)

Dear Sir or Madam,

I am writing to suggest some improvements to the reception area, following complaints from clients and staff members about its current condition.

Regarding these complaints, the reception area is often crowded during peak hours because of a lack of seating, which inconveniences customers while they wait. In addition, some furniture is outdated; several visitors have mentioned that the reception desk is difficult to locate because no clear signs are directing them to it.

I believe the reception area is particularly important for several reasons. Firstly, it is the first point of contact for every visitor and reflects the professionalism of the organization. Therefore, its appearance can create a lasting impression on the company's reputation and environment.

To improve the area, I would suggest replacing the old furniture with comfortable seating in modern-designed chairs and sofas. Furthermore, clear signs could be installed on the front side of the reception desk board to guide visitors.

I hope you will consider these suggestions and take appropriate actions to improve the reception area.

Yours faithfully,

Bhawna

Task Achievement / Task Response: Band 7.5

The candidate has successfully addressed all three bullet points of the task requirements in a clear and appropriate manner. The letter begins by describing the specific complaints made by clients and staff members regarding the overcrowded reception and outdated furniture. It then elaborates on why the reception area is vital to the company, noting that it acts as the primary point of contact and shapes the overall organizational reputation. Finally, practical and logical suggestions are offered, such as replacing old furniture with comfortable seating and installing clear signage. The tone is consistently appropriate for a workplace communication directed to a manager, and all ideas are well-developed and relevant throughout the letter, demonstrating a strong understanding of General Training Task 1 expectations.

Coherence and Cohesion: Band 7.5

The response is logically organized with a clear progression of ideas from the introduction of complaints to the justification of the reception's importance, followed by actionable solutions. Paragraphing is used very effectively, with each distinct point isolated in its own logical paragraph. Cohesive devices are handled naturally without mechanical overuse, seen in transitions like 'Regarding these complaints', 'Firstly', and 'Furthermore'. Referencing is clear throughout the text, ensuring that the reader easily follows the letter from the opening salutation to the closing sign-off. The overall structural flow fully meets the criteria for a well-structured professional correspondence.

Lexical Resource: Band 6.5

The candidate demonstrates a sufficient and appropriate range of vocabulary for workplace communication. Words and phrases such as 'peak hours', 'inconveniences customers', 'lasting impression', and 'organizational reputation' are used accurately. There is a successful attempt to use less common items with good awareness of style and collocation, such as 'first point of contact' and 'appropriate actions'. While the vocabulary is not overly complex, it is precise, natural, and entirely adequate for fulfilling the communicative purpose without any errors that impede understanding.

Grammatical Range and Accuracy: Band 8.0

The writing features a good mix of simple and complex sentence structures, showcasing control over clauses and punctuation. Examples of complex structures include 'I am writing to suggest some improvements..., following complaints from clients...' and 'the reception area is often crowded during peak hours because of a lack of seating, which inconveniences customers while they wait.' The majority of the sentences are error-free, and punctuation is handled correctly throughout. Minor slips are virtually absent, and grammatical control remains strong from start to finish, supporting clear and precise communication.
