Begin your letter as follows:
Dear ................. ,
Student answer (Band 6.5)
Dear Mr. John,
I am writing to formally provide a description of ongoing maintenance in our reception area.
Over the last month, the frequent noise from the construction have caused severe administrative bottlenecks. Some of our receptionists repeatedly faced migrane and head-ache problems, resulting in diminished productivity and unable to focus during critical tasks.
Most of our daily operations are dependent on the reception area because our clients and vendor meetings are held in the conference room beside reception. Moreover, the attendance logbook is installed in the reception area; due to the construction, it becomes very difficult for machine to read the face because of dirt.
To mitigate this issue, I request you to implement construction time frames. In particular, construction hours should be after 6:00 PM, so that there would not be any disruption in departmental operations.
I hope you take exemplary steps to solve this problem.
I look forward to hearing from you.
Yours sincerely,
Vishal.

Task Achievement / Task Response: Band 7.0
The student has successfully addressed all three bullet points required by the prompt. First, the complaints regarding construction noise, administrative bottlenecks, and health issues are clearly described. Second, the importance of the reception area is explained by highlighting client and vendor meetings as well as the attendance logbook. Third, a specific and logical suggestion is made to mitigate the issue by implementing construction time frames after 6.00 PM. The tone is appropriate for a formal letter to a manager. Although the prompt mentions complaints from visitors, the student interprets this slightly differently to focus on employee and operational impact, which still fulfills the task requirements effectively. All parts of the prompt are covered well, and the ideas are appropriately developed.
Coherence and Cohesion: Band 7.0
The letter exhibits a clear logical progression from describing the problem and its impact to explaining its importance and offering a constructive solution. Paragraphing is used appropriately, with distinct paragraphs for the introduction, body points covering complaints and importance, the suggestion, and the polite closing. Cohesive devices such as 'Moreover', 'To mitigate this issue', and 'In particular' are used effectively to guide the reader through the text. Referencing is generally clear, and the overall organization ensures smooth reading without significant disruption to flow.
Lexical Resource: Band 6.0
The student demonstrates an adequate to good range of vocabulary suitable for a workplace context, employing terms like 'administrative bottlenecks', 'diminished productivity', and 'mitigate'. However, there are some noticeable inaccuracies in word choice and collocation, such as 'repeatedly faced migrane and head-ache problems' instead of suffering from migraines and headaches, and 'very difficult for machine to read the face' instead of facial recognition scanners. Spelling is generally accurate, though minor errors in word form occur. The vocabulary is sufficient to communicate the message clearly, but occasional slips prevent it from reaching a higher band.
Grammatical Range and Accuracy: Band 6.0
The response includes a mix of simple and complex sentence structures, such as conditional and subordinate clauses ('Most of our daily operations are dependent on the reception area because our clients and vendor meetings are held...'). However, there are several grammatical errors present. For instance, subject-verb agreement is flawed in 'the frequent noise from the construction have caused', where 'noise' is singular. There is also an article omission in 'difficult for machine to read' and a tense/modal inconsistency in 'resulting in diminished productivity and unable to focus' (faulty parallelism). While these errors do not impede overall communication, they occur frequently enough to place the grammar at a solid Band 6 level.
