There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Sam,
I read your email. Thank you for bringing this up.
I too had received several complaints related to our outlandish looking reception area. Various complaints were specifically about the sitting arrangement of the premise and lack of plantation in the area. Some others complainted that it lacks direct sunlight, making it unpleasant and uncomfortable to sit for the longer period time.
I firmly believe that their issues be resolved with an immediate action. The reception area plays a vital role for us as our clients have to feel at comfort while waiting for their presentation or meeting with their respective head of department. Plantation could improve air circulation and makes it easier for them to breath as well. The change in the sitting arrangement is equally crucial. I have contacted an outside contractor to work with the roof addressing the sunlight problem. They will be arriving tomorrow with a possible solution.
I will be staying in meeting but let me know if you would need any other information to make our reception area look better. Thank you once again for bringin this up.
