Student answer (Band 6.5)

Dear Sir or Madam,

I am writing to suggest you few ways to improve our reception area.

There have been several negative feedback registered for three months. Firstly, some visitors mentioned that there were lack of seating arrangements especially during rush hours. In addition, currently the washrooms are quite far away from the reception which is hard to find, particulalry for elderly individuals or womens with their babies.

I believe the reception area is most important because it creates first and most professional impression for clients, visitors and job candidates. If that area is not good we might loose our potential customers.

I would recommend to increase the size of reception area and add some more seating such as chairs or small couches. Additionally, we could make some new washrooms near to the reception area. Apart from these, I am very happy to make a AutoCAD layout for prelimilary work. I beleive with those small changes we could make our reception area more meaningful.

Thank you for your time and consideration. I look forward to your response.

Yours faithfully,

Parminder

Task Achievement / Task Response: Band 7.0

The letter addresses all three requirements: it reports complaints about insufficient seating and distant, hard-to-find washrooms, explains that reception shapes visitors’ first impression and may affect potential customers, and proposes more seating and nearby washrooms. The suggestions are relevant and the offer to prepare an AutoCAD layout adds a practical, personal detail. Your purpose and position remain clear throughout. To strengthen the response further, develop the complaints and recommendations with a little more explanation—for example, describe how visitors are affected during busy periods and how the proposed changes would improve their experience. The importance of reception is explained clearly, though the point about losing customers could be linked more specifically to the company’s professional image.

Coherence and Cohesion: Band 7.0

The letter has a clear progression: it opens with its purpose, presents the complaints, explains the importance of reception, and then gives recommendations before closing politely. Paragraphing supports this organisation, and signposts such as “Firstly,” “In addition,” and “Additionally” help readers follow the points. The ideas are generally connected logically, including the link between a poor reception area and losing potential customers. To make the flow more polished, vary the transitions rather than relying mainly on additive markers, and connect each proposed improvement directly to the complaint it addresses. For instance, the seating recommendation could explicitly refer back to visitors waiting during rush hours.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a workplace letter, including relevant terms such as “seating arrangements,” “rush hours,” “potential customers,” and “AutoCAD layout.” These choices communicate the main points, and the tone is appropriately professional overall. Some word choices and collocations are inaccurate or awkward, however, as in “negative feedback registered,” “make some new washrooms,” and “more meaningful.” There are also spelling errors, including “particulalry,” “prelimilary,” and “beleive.” These do not prevent understanding, but they limit precision and naturalness. Aim to use established combinations such as “feedback received,” “construct additional washrooms,” and “make the reception area more welcoming,” and proofread carefully.

Grammatical Range and Accuracy: Band 6.0

The response includes both simple sentences and more developed structures, such as the sentence beginning “I believe the reception area is most important because…” and the conditional “If that area is not good we might…” This gives the letter some structural variety, and the message remains clear despite some grammatical errors. Examples include “suggest you few ways,” where an article and a suitable structure are needed, and “there were lack of seating arrangements,” where the noun phrase requires correction. There are also issues with agreement and plurals in “womens with their babies,” and the conditional sentence would benefit from punctuation after its opening clause. Review articles, agreement, and sentence punctuation, then check each sentence for a complete and natural grammatical pattern.
