Student answer (Band 6.0)

Dear Sir or Madam,

I am writing this letter in response to guests' complaints, as the manager and team must be prepared to make improvements specific to the reception area of the Howard Company.

Firstly, complaints were made, witnessed by visitors reviews regarding the unorganised chairs in the sitting area. Hence, due to the lack of adequate chairs, clients were disappointed with the overcrowded groups. Secondly, the constant delays annoyed the public as prompt response and quick service management were expected. Additionally, hygiene and cleanliness in the reception area didn't match expectation.

As said, first impression is last impression. In Parallell, the reception area serves as the main root of the company's representation. A clean, calm and organised environment lowers guest anxiety and sets a positive tone for a meeting. Also, smooth flow and operational management must be maintained to get positive feedback for the renowned company.

Reception area needs a thorough changes, including the extra chairs at the area to reduce congestion. Also, A cleaner must be appointed which can flexibly avalaible there for 24 hours to maintained the cleanliness and taking care of the people's needs. In response to prompt service an additional receptionist must be

hire as soon as possible for fast flow.

I hope the management pay attention to the concern and maintain according the suggests provided.

Thanks,

hets

Task Achievement / Task Response: Band 6.5

You address all three requested points: you describe complaints about seating, delays and cleanliness, explain that reception shapes the company’s first impression, and propose more chairs, a cleaner and an additional receptionist. This covers the task well, and the suggestions are relevant. The explanation of reception’s importance is particularly clear in “sets a positive tone for a meeting.” However, some ideas are less fully developed: for example, you do not explain how the proposed staffing changes would reduce delays or how cleanliness could be monitored. The opening “Dear Sir or Madam” and closing “Thanks” are also less suitable for a letter to a known manager. A more direct, appropriately formal address and a fuller explanation of the practical benefits would strengthen the response further.

Coherence and Cohesion: Band 6.0

The letter has a coherent overall arrangement: complaints, the importance of reception, and proposed improvements each receive a separate paragraph. Sequencing phrases such as “Firstly,” “Secondly,” and “Additionally” help the reader follow the list of complaints. However, some linking is mechanical, and a few connections are unclear. “As said” does not clearly refer back to a specific point, while “In Parallell” is an awkward transition into the explanation of importance. The final paragraph also combines several recommendations in a long sequence, making the relationship between staffing, cleanliness and service less clear. Use transitions that show the precise relationship between ideas, and organise each recommendation with its reason or expected result.

Lexical Resource: Band 5.5

You use a reasonable range of vocabulary for the topic, including “overcrowded,” “prompt response,” “operational management,” and “congestion.” These choices help communicate the main concerns and proposed changes. However, several word choices and collocations are inaccurate or unnatural, such as “unorganised chairs,” “overcrowded groups,” “main root of the company’s representation,” and “fast flow.” Spelling errors in “Parallell” and “avalaible” also reduce accuracy. Some phrases, including “positive feedback for the renowned company,” are vague or do not fit the point being made. Aim for precise, natural combinations such as “poorly arranged seating,” “the company’s public image,” and “a more efficient service.”

Grammatical Range and Accuracy: Band 5.0

You attempt both simple and more complex sentence forms, and most of the message remains understandable. For example, “A clean, calm and organised environment lowers guest anxiety and sets a positive tone for a meeting” is a clear, well-controlled sentence. However, errors occur in several sentence patterns and verb forms. “Reception area needs a thorough changes” has an article and number problem; “which can flexibly available” is missing a verb; and “to maintained the cleanliness” uses the wrong verb form. The final sentence, “I hope the management pay attention to the concern and maintain according the suggests provided,” is also difficult to follow grammatically. Check articles, singular/plural agreement, and verb forms after “to,” and revise sentences aloud to ensure each clause is complete.
