There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.

Dear Sir,

I am writing this letter to provide some suggestions to improve our reception area as we have received several complaints regarding our front-desk area. Firstly, the waiting area at our company's entrance is considerably congested which makes it difficult for people to wait for longer time. Moreover, sometimes individuals have met with lack of empathy and dismissive behaviour by our staff members. Also, they have failed to provide appropriate solutions to some guests' problems in a timely manner.

The reception area of our company is quite significant because people start their first interactions in that area. If they are not satisfied with the service provided by our receptionists, they may lose their interest in our company which may have detrimental impact on company's goodwill.

Tor improve the quality of service at front-desk, we should provide cross-training to our employees so that more team members could be scheduled during rush hours. Furthermore, the seating arrangement should be increased so that visitors can comfortably sit while waiting.

I hope that these suggestions could be implemented soon so that our reception area could be improved.

To strengthen the flow, use a more varied range of transitions and connect each recommendation explicitly to a complaint—for instance, link additional seating to congestion and training to the service concerns.
