Student answer (Band 5.0)

Dear sir,

My name is Davidson the employer of your company. From certain days, there is specific issue has been arisen from visitors of our compnay. Most, visitors complains about the reception is not formed in a correct way and the receptionist of a reception area is not properly focused on his work related to the customers. He has not working well. Sometimes, he has not present at the reception area and there is another complain about him when customer complaining about something related to the compnay to him his tone is very absurd which he used for the customers. Morever, he has his strangers friends who come at night and they make too much noise at receptionist area which can not be bare. The reception area is highly responsible for our customers attraction to the comapny if these things happening there it will give a bad impression to the compnay standard. We should hire a new receptionist. Who's behavior to the company is serious and very accurate dealing his deals with the customers accordingly related to the company matters.

Regards

Yours Employer

Task Achievement / Task Response: Band 5.5

You cover the three requested points: you report complaints about the receptionist’s absence, manner with customers, and friends making noise, explain that reception shapes visitors’ impressions, and recommend hiring a replacement. These details make the letter relevant, but the explanation of why reception matters is brief, and the improvement plan is limited to replacing the receptionist. The opening, “My name is Davidson the employer of your company,” also makes your role and purpose unclear, while “Dear sir” and “Yours Employer” are not well suited to a letter to your manager. State your purpose directly, clarify your position, and add practical suggestions such as staff training, clearer visitor procedures, or a quieter, more welcoming layout.

Coherence and Cohesion: Band 4.5

The response contains a recognisable sequence: it introduces a problem, lists several complaints, explains the effect on the company’s image, and proposes a solution. However, the ideas are crowded into one long paragraph, so the reader has to work to distinguish the complaints from their consequences and your recommendation. Linking is also repetitive or awkward, particularly the repeated use of “and” and “there is another complain.” Organise the letter into short paragraphs—for example, purpose and complaints, importance, then recommendations—and use clear transitions such as “In addition,” “As a result,” and “To address this.” This would create a more consistent progression and make the relationships between points easier to follow.

Lexical Resource: Band 4.5

You use some relevant vocabulary for the situation, including “visitors,” “reception area,” “customers,” “bad impression,” and “hire a new receptionist.” However, the range is limited and several word choices or combinations are inaccurate, which sometimes makes the meaning difficult to follow. Examples include “the reception is not formed in a correct way,” “his tone is very absurd,” and “his strangers friends.” Spelling errors such as “compnay,” “comapny,” and “Morever” also reduce accuracy. Aim for precise, natural phrases such as “the reception area is poorly organised,” “he speaks rudely to customers,” and “his friends, who are not employees.” Check spelling and avoid repeating “company” where a more specific reference is possible.

Grammatical Range and Accuracy: Band 4.5

The letter attempts longer sentences to connect complaints and consequences, but these structures are often faulty, and the range of sentence patterns remains limited. For example, “From certain days, there is specific issue has been arisen” combines incompatible verb forms, while “He has not working well” and “Sometimes, he has not present” show problems with verb construction. Articles and agreement are also inconsistent, as in “there is another complain” and “Most, visitors complains.” These errors can make the reader pause to interpret your meaning. Build accuracy with shorter sentences first, then combine related ideas using correctly formed clauses. Review subject–verb agreement, present perfect forms, and punctuation, especially where a full stop currently separates “We should hire a new receptionist” from its explanation.
