Student answer (Band 6.5)

Dear Mark,

I am writing to provide few suggestions to upgrade services for the reception area as we have recieved complaints from visitors to our company. The visitors felt disheartned as our company lodging services were substandard rather than consistent.

There were several complaints have been made for the reception area. Firstly, the guests were not greeted immediately with a friendly tone and a sincere smile. Moreover, the servants were not paying close attention to guests' needs and fulfill them. As a result, it led to our company reputation not to have operational consitstency and reliability.

The company reception area is the central place to host visitors including clients, and potential hires. Additionally, it visually communicates our company's values, mission, culture and aesthetic through lighting, colors, logos and decor.

I would suggest every receptionists must go through the training courses of hospitality management again. Nevertheless, we must focus on greeting style upon arriving of guests as well as maintaining operations efficiency to run reception area smoothly.

I hope as a manager, you will take these concerns and implement above suggestions to standards of the reception area services.

Yours sincerely,

Viral Siddhapura

Task Achievement / Task Response: Band 7.0

The letter addresses all three requirements and maintains a clear, appropriate purpose: you report complaints, explain the reception’s role, and recommend staff training and operational improvements. Specific details such as visitors not being greeted promptly and the reception communicating company values make the response relevant. The explanation of importance is particularly clear, while the proposed improvements are somewhat less developed: “training courses of hospitality management again” and improving greeting style and efficiency would benefit from practical detail, such as refresher training, a greeting standard, or a process for responding to requests. The closing also asks the manager to act, though “implement above suggestions to standards” is unclear. More precise, supported recommendations would strengthen an otherwise complete response.

Coherence and Cohesion: Band 7.0

The letter has a clear progression from its purpose, to the complaints, to the reception’s importance, and finally to recommendations and a closing request. Paragraphing supports this sequence, and signposts such as “Firstly,” “Moreover,” and “Additionally” help readers follow the points. The relationship between the complaints and the effect on the company’s reputation is also made explicit. Some linking is less smooth: “There were several complaints have been made” creates a distracting transition, and “Nevertheless” does not express a clear contrast before the recommendations. The final sentence is also difficult to follow. Use connectors that accurately show the relationship between ideas and make the closing request more direct to achieve more consistently fluent cohesion.

Lexical Resource: Band 6.0

You use a suitable range of vocabulary for a formal workplace letter, including “potential hires,” “company’s values,” “hospitality management,” and “operational consistency and reliability.” These choices show an attempt to be precise and professional. However, some less common expressions are inaccurate or unnatural, which limits clarity: “company lodging services” does not clearly describe reception, “servants” is unsuitable for reception staff, and “upgrade services” is less natural than “improve the service.” There are also spelling errors, including “recieved,” “disheartned,” and “consitstency.” These do not prevent understanding, but careful proofreading and more natural collocations would make your vocabulary more controlled and effective.

Grammatical Range and Accuracy: Band 5.5

The response attempts a mix of sentence forms, including a complex sentence beginning “as we have…” and a sentence explaining the reception’s role through “including clients, and potential hires.” Meaning is generally recoverable, but some grammatical errors remain. For example, “There were several complaints have been made” combines incompatible verb structures; use either “Several complaints have been made” or “There were several complaints.” In “the servants were not paying close attention … and fulfill them,” the verb forms are not parallel. Other awkward patterns include “every receptionists must” and “upon arriving of guests.” Review subject–verb agreement, parallel verb forms, and sentence construction, then proofread articles and prepositions. More accurate control of these patterns would make the varied structures easier to read.
