Student answer (Band 7.0)

Dear Manual,

I am writing this letter to offer my advice on how we could improve our reception area.

Many customers have complained that there is inadequate staff at the reception desk. Therefore they have to wait for longer periods to take appointments. Others have shared that there are not enough seats at the waiting areas to accomodate large number of customers especially during peak hours which makes it difficult for them to find a seat. Other clients have mentioned that the air conditining is not working properly and in the hot weather it gets uncomfortable for them to wait in the reception area.

It is important for our business to provide a good reception exeperience to our customers. Reception area is a first meeting point of our cilents and it reflects the quality of our service. In order to retain our cilents in the long term, we need to provide an excellent reception service.

Therefore, I suggest to appoint new staff at the reception to reduce the workload and purchase new furniture to accomodate more customers. We should also appoint a service technician to fix the air conditining system. With taking all these steps, I am certain that all the customer problems can be solved.

Yours faithfully,

Iqbal

Task Achievement / Task Response: Band 7.5

The letter addresses all three requirements clearly. You describe specific complaints about staffing, seating and the air conditioning, explain that reception is the first point of contact and reflects service quality, and propose a matching solution for each problem. Your purpose and recommendations remain clear throughout, and the ideas are supported with relevant reasons, such as retaining clients. To make the response even more fully developed, explain briefly how the proposed changes would improve visitors’ experience—for example, how additional staff could reduce appointment delays. The suggestions are practical and appropriately directed to your manager, though the final claim that all problems can be solved is somewhat broad.

Coherence and Cohesion: Band 7.0

The letter has a clear progression: it opens with its purpose, sets out the complaints, explains the importance of reception, and then gives recommendations. Paragraphing supports this sequence, and linking expressions such as “Therefore” and “In order to” help show relationships between ideas. The connections are generally easy to follow, although “Therefore” is used to introduce both the complaints’ consequence and the recommendations, making the linking slightly repetitive. The long complaints paragraph could also be organised more deliberately, perhaps by separating the issues or using clearer transitions between them. Overall, the organisation is logical and the reader can follow the message without difficulty.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a workplace letter, including relevant terms such as “inadequate staff,” “peak hours,” “workload,” and “retain our clients.” These choices communicate the issues and proposed actions clearly. However, some spelling errors and imprecise or unnatural combinations limit the accuracy of the vocabulary: “accomodate,” “air conditining,” “exeperience,” and “cilents” recur, while “take appointments” is not the most natural way to describe waiting for one. “Reception service” is also repeated, and “excellent” is broad rather than specific. More careful proofreading and more precise collocations would make your vocabulary more controlled and professional.

Grammatical Range and Accuracy: Band 6.5

You use a mix of simple and complex sentence forms, including a relative clause in “which makes it difficult for them to find a seat” and a purpose clause beginning “In order to retain our clients.” Most sentences communicate the intended meaning, and the longer sentences are generally manageable. Some grammatical errors remain, however. In “there are not enough seats at the waiting areas,” the article and number pattern is inaccurate; “a large number of customers” also needs an article. “Reception area is a first meeting point” needs an article before “reception area,” and “With taking all these steps” uses an incorrect grammatical construction. Revising these patterns would improve accuracy while preserving your sentence variety.
