Student answer (Band 6.5)
Dear Manager,
There have been several complaints from our company's visitors regarding the reception area. I am writing this letter to dicuss the problem and profer possible solutions for this.
The visitors, complained about the unavailability of seats and air-conditioner in the reception area. When visitors arrive the premises, they will need to remain standing in a poorly ventilated area before being attended to. This has proven to not be ideal. In recent times, there have been a drastic drop in the numbers of visitors coming to the company.
The reception area is very important. It is the first area of contact for anyone coming into the company. The reception area gives people insights to the company's details. It also shows how much the company pays attention to their staff and customers' wellbeing.
Inorder to improve the reception area, an air-conditioner will need to be placed centrally. This will allow visitors to wait comfortably, especially during summer. Comfortable seats with back rest should be provided. Light refreshments should also be on display at the reception area. This will show how valued and appreciated our visitors are.

Task Achievement / Task Response: Band 7.0
The letter addresses all three requirements: it identifies the lack of seating and air-conditioning, explains that reception creates visitors’ first impression, and proposes an air-conditioner, comfortable seats and refreshments. The suggestions are relevant and the purpose is clear throughout. The explanation of why reception matters is particularly effective in noting its effect on how the company is perceived. To make the ideas more fully extended and supported, explain the reported drop in visitor numbers more cautiously or connect it directly to the complaints; as written, “This has proven to not be ideal” does not establish that the conditions caused the decline. A more specific description of the complaints or their impact would also strengthen the response.
Coherence and Cohesion: Band 7.0
The information is arranged in a clear progression: the opening states the purpose, followed by paragraphs on complaints, the importance of reception, and proposed improvements. This makes the letter easy to follow, and links such as “In recent times” and “In order to improve” help signal relationships between ideas. The paragraphing is appropriate for the task. Some connections could be more precise: the claim about fewer visitors follows the description of poor conditions, but the causal link is not explained. Also, the opening could move more directly from the purpose to the complaints, and the final paragraph would benefit from a brief closing sentence to complete the letter.
Lexical Resource: Band 6.0
The vocabulary is adequate for the topic and includes some useful choices, such as “poorly ventilated,” “centrally,” and “wellbeing.” These help communicate the practical problems and proposed changes. However, several spelling and word-choice errors reduce precision, including “dicuss,” “profer,” and “Inorder.” Some phrases are also awkward or imprecise: “insights to the company’s details” does not clearly express the intended idea, while “a drastic drop in the numbers” is less natural than a more concise collocation. Aim for accurate spelling and natural combinations of words, especially in formal workplace correspondence. More precise vocabulary for the visitors’ experience and the company’s first impression would add flexibility.
Grammatical Range and Accuracy: Band 6.0
The response uses a mix of simple and more developed sentence forms, including the conditional-style explanation “This will allow visitors to wait comfortably, especially during summer.” Most meaning remains clear, but some grammatical errors are present. In “The visitors, complained,” the comma incorrectly separates the subject from the verb. “When visitors arrive the premises” is missing a preposition, and “there have been a drastic drop” has a subject–verb agreement error. The phrase “attention to their staff and customers’ wellbeing” also has an unclear reference and possessive construction. Review sentence punctuation, agreement, and prepositions, and check that pronouns clearly refer to the intended people or things.
