Student answer (Band 6.5)
Dear Mr. Rakesh,
I hope you are doing well. I am writing this letter to suggest you some possible solutions to improve the reception area of our company. We recently received some negative feedback of our reception area.
There are mutliple complaints have been received. Firstly, the sitting arrangement is not sufficient for visitors. Secondly, this area does not have air conditioning facility. Lastly, there has been no any book shelves present over there to spend time during waiting period.
From my perspective, reception place is more important for the company because it is the first impression of any organisation. Moreover, it provides all the information regarding the company. Furthermore, visitors expects all the answers from this place itself. So, the well-trained administration staffs are also the another important aspect along with this area.
According to me, this place should have enough space where every visitors can sit without any hurdles. Another thing is that company can allocate reasonable budget to make attractive reception desk, which significantly attracts travellers towards it. Company also provide better air conditioning with pleasant environment over there. Lastly, company can set up one book shelves, which contains some magazines, newspaper and books.
Thank you for your cooperations. I am looking forward to your response regarding this suggestions.
Yoours sincerely,
Shubham Savaliya

Task Achievement / Task Response: Band 7.0
You address all three requirements clearly: you identify complaints about seating, air conditioning and reading materials, explain that reception creates the company’s first impression and provides information, and propose practical improvements. The letter’s purpose and your recommendations are clear throughout. Some points are extended with a reason, such as making the reception desk attractive to visitors, but other suggestions remain general: for example, “enough space” and a “pleasant environment” could be made more specific. The point about trained administrative staff is relevant, though it is not developed into a concrete recommendation. Overall, the task is covered effectively, with room to support and specify a few ideas further.
Coherence and Cohesion: Band 7.0
The letter has a clear progression: an opening purpose, a paragraph listing complaints, an explanation of reception’s importance, and a final paragraph of recommendations. Sequencing phrases such as “Firstly,” “Secondly,” “Lastly,” and “Moreover” help the reader follow the points, and the closing is appropriate for a formal letter. Paragraphing is also effective. At times, however, the linking language is somewhat repetitive, particularly the repeated use of “Moreover,” “Furthermore,” and “Lastly.” Some connections between ideas could be more precise: the comment about trained staff follows the explanation of reception’s role but is not clearly linked to a specific improvement. More varied, natural transitions and clearer links between each complaint and its solution would strengthen the flow.
Lexical Resource: Band 5.5
You use enough vocabulary to communicate the topic and make several relevant distinctions, including “negative feedback,” “first impression,” “well-trained,” and “allocate reasonable budget.” However, noticeable word-choice, collocation and spelling problems limit precision and naturalness. Examples include “sitting arrangement” for seating, “book shelves” for bookshelves, “travellers” for visitors, and “cooperations” in the closing. “Reception place” and “visitors expects” also show imprecise expression or word form. These choices do not prevent the reader from understanding your main points, but they make parts of the letter sound unnatural. Aim to learn common collocations for facilities and formal requests, and proofread spelling and word forms carefully.
Grammatical Range and Accuracy: Band 5.5
You attempt both simple and more developed sentence forms, including relative clauses such as “which contains some magazines” and a reason introduced by “because.” The overall meaning remains understandable, but errors occur often enough to affect grammatical control. For example, “There are mutliple complaints have been received” combines two sentence patterns; “visitors expects” has subject–verb disagreement; and “there has been no any book shelves” has problems with the negative construction and noun number. Articles and agreement also need attention in “the another important aspect” and “every visitors can sit.” Practise forming accurate passive sentences and checking singular/plural subjects, articles and verb endings. Greater accuracy in these patterns would make your recommendations easier to read.
