Student answer (Band 6.5)

Dear Mr. John,

I hope you are well. I am writing this letter to request some modification in the reception area.

The reception area plays an important role in our clinic. As people who come for the treatment and consultation they have to wait at the reception area. Therefore, having an aesthetic and comfortable area is very essential for clinic's reputation. I also want to inform you about the several complaints that have been received recently about our waiting area. There are very limited chairs for the patients to sit. Consequently, we have received many suggestions regarding this issue. Moreover, there is no water despencer in the front which I have mentioned in earlier meeting as well. As we have many old age people coming for the treatment it is a neccessity. If we could arrange some comfortable chairs and water despencer this can make patients experience pleasant and more comfortable.

Making these changes will not only complement our services but will also will make the visitors feel more relaxed.

I hope this can help in enhancing our services for the future.

Best Wishes,

Aakansha.

Task Achievement / Task Response: Band 6.5

The letter addresses all three requirements: it reports too few chairs and the absence of a water dispenser, explains that the reception area affects the clinic’s reputation and patients’ comfort, and recommends adding chairs and a dispenser. These are relevant, practical points, and the purpose is clear. The explanation of why reception matters is present, but could be developed further by noting that it shapes visitors’ first impression of the clinic. The suggestions also remain fairly general: specify how many chairs or where the dispenser should be placed, and mention who could arrange these changes. This would make the recommendations more fully supported while retaining the clear, appropriate tone of a letter to a manager.

Coherence and Cohesion: Band 6.5

The information is arranged in a generally logical order: the opening states the purpose, the main paragraph explains the area’s importance and describes complaints, and the closing reinforces the proposed changes. Linking expressions such as “Therefore,” “Moreover,” and “Consequently” help connect ideas, and the letter format is clear. However, the central paragraph combines the importance of reception, the complaints, and the solutions, so the progression is somewhat crowded. The reference in “which I have mentioned in earlier meeting as well” is also not fully clear about when or to whom this was raised. Separate the rationale from the complaints and recommendations, and use more precise references to make the organisation smoother and less dependent on explicit linking phrases.

Lexical Resource: Band 6.0

The vocabulary is adequate for the topic and includes some useful choices, such as “reputation,” “consultation,” “complaints,” and “enhancing our services.” The reader can understand the concerns and proposed improvements. However, several word choices and collocations are inaccurate or awkward, including “request some modification,” “water despencer,” and “make patients experience pleasant.” There are also spelling errors in “despencer” and “neccessity.” These do not prevent understanding, but they limit the precision and naturalness of the letter. Use more conventional workplace and healthcare phrasing, and proofread spelling carefully. A more varied set of precise terms for comfort, waiting facilities, and visitors’ first impressions would strengthen the vocabulary further.

Grammatical Range and Accuracy: Band 6.0

The response uses a mix of simple and more complex sentence forms, including a reason clause in “As people who come for the treatment and consultation they have to wait” and a conditional suggestion beginning “If we could arrange…”. Most meaning remains clear, but some grammatical errors and awkward constructions persist. For example, “for clinic’s reputation” needs a possessive determiner, and “As people who come… they have to wait” has an unclear sentence structure. In “will not only complement our services but will also will make,” the repeated auxiliary disrupts the parallel construction. Review articles and sentence framing, and check that paired structures use matching forms. Greater control of these patterns would make the letter more fluent and accurate.
