Student answer (Band 6.5)
Dear Mr Simeon
Recently, there have been several complaints in regards to our company reception area. The complaints range from inadequate seats for the visitors, no cooling units in the room, and lack of trained personnel to mann the area. As we all know, ours is a big company that depend largely on the numbeer of our clientele who come far and near to the office to purchase goods which the in turn sell to their own customers.
The number of our clients is very important to us as we depend on the rate of turnover from our daily sales. In other words, our clients are our strength and if, we must stay in business we must ensure that our customers are happay and one of the ways of achieving this, is to provide a comfortable reception area for them.
In other to improve the reception area, I suggest that the old seats be removed and replaced with more comfortable seats. The number of seats also will be increased to ensure that every visitor to our office has a place to sit.
Air conditioning units have to be installed in the reception for a conducive atmosphere. In addition to these, the visitor area has to be decorated with beautiful flowers to make it attractive and welcoming to or guests. And the receptionists have to be trained on customer services as this will enable them interaact effectively and efficiently with our visitors.
Furthermore, serving tea/coffee to our guests have to be introduced as this will go a long way to improving our relationship with our visitors and make them to always want to come back to visit.
All these, if put in place will change the look of our reception area and in return boost the organisation's sales.
Yours Sincerely
Bernice Brown.

Task Achievement / Task Response: Band 7.5
You address all three instructions clearly. The complaints are specific—insufficient seating, no cooling units, and a lack of trained staff—and you explain why the area matters by linking visitor comfort and customer relationships to sales. Your recommendations respond directly to those concerns, including replacing and adding seats, installing air conditioning, training receptionists, and offering refreshments. The letter also maintains a suitable, respectful tone for a manager. The explanation of the reception area’s importance is relevant, though it focuses mainly on customer satisfaction and sales; a little more about the reception’s role in creating visitors’ first impression would make the reasoning more fully developed. Overall, the ideas are extended and supported, with some broad claims such as saying clients are the company’s “strength.”
Coherence and Cohesion: Band 7.0
The letter has a clear progression: it introduces the complaints, explains the value of visitors, presents practical improvements, and closes by describing the expected benefit. Paragraphing supports these stages, and linking expressions such as “In other words,” “In addition,” and “Furthermore” help guide the reader. The recommendations are generally grouped logically, although several are packed into one long paragraph, so separating the physical changes from staff and hospitality suggestions would make the structure easier to follow. Some transitions are slightly mechanical, and the final paragraph repeats the idea of improving the relationship with visitors. More concise linking and clearer paragraph divisions would make the cohesion more flexible and less noticeable.
Lexical Resource: Band 5.5
You use enough vocabulary to explain the complaints and propose relevant changes, including “comfortable,” “conducive atmosphere,” “attractive and welcoming,” and “interact effectively.” However, spelling and word-choice errors are noticeable: “mann,” “numbeer,” “happay,” and “interaact” should be corrected, while “in regards to” and “make them to always want” are not natural collocations. Some wording is also repetitive, particularly “visitors,” “guests,” and “customers,” and “big company” is less precise than the context allows. These issues do not prevent the reader from understanding your suggestions, but more accurate spelling and natural collocations are needed for stronger lexical control.
Grammatical Range and Accuracy: Band 6.0
You use a mix of simple and complex forms, including conditional and subordinate clauses: “if we must stay in business…” and “as this will enable them…” The meaning remains clear throughout, but some grammatical errors occur. For example, “a big company that depend” needs subject–verb agreement (“depends”), and “serving tea/coffee … have to be introduced” needs a singular verb (“has”). The phrase “make them to always want” should be restructured as “make them always want,” and “if, we must” has unnecessary punctuation. There are also some awkward sentence constructions, especially in the opening sentence about clients and sales. Checking agreement, verb patterns, and punctuation would improve accuracy while preserving your range.
