Student answer (Band 7.0)

Dear Sir,

Lately many complaints have been received about thre reception area at the front of the office where visitors are made to wait. These complaints are due to the poor seating conditions in the reception area. There are not enough chairs available when a lot of visitors are waiting. The air conditioner at the reception area has not been functioning properly which leads to the area being very hot and uncomfortable when crowded.

The reception area is very important to the company as it is the first place where visitors are welcomed while waiting for their appointment. Recently we have been receiving an increased number of visitors from different countries due to the multinational projects being worked on currently. These visitors would prefer to be placed in a comfortable room after a long trip.

The reception area can be improved to make the experience of the visitors to the company more favorable. We can increase the number of seats at the reception area by moving unoccupied chairs from the office space. We can also replace the faulty air conditioners with new ones while also servicing the faulty ones.

Yours truthfully,

Gideon Njoku

Task Achievement / Task Response: Band 7.5

You address all three requested points clearly. The complaints are specific—too few chairs and an air conditioner that does not work properly—and you explain the reception area’s importance as the first place visitors are welcomed. The reference to more international visitors and their long journeys also supports your point about comfort. Your suggestions directly respond to the problems, including moving spare chairs and replacing or servicing the air conditioners. This is a well-focused response with relevant support. To make the ideas more fully developed, explain briefly how the improvements would benefit visitors or the company, and specify who could arrange the repairs or seating changes. A more conventional formal closing would also suit the letter to your manager.

Coherence and Cohesion: Band 7.0

The letter has a clear progression: it describes the complaints, explains why reception matters, and then proposes solutions. The three paragraphs each have a distinct purpose, and linking phrases such as “These complaints are due to” and “We can also” help the reader follow the reasoning. The connection between the increase in international visitors and the need for a comfortable waiting area is also clear. Some transitions are a little formulaic, and the final paragraph could link each proposed action more explicitly to the corresponding complaint. For example, state that additional chairs would address the shortage, followed by the air-conditioning repair. This would make the cohesion more flexible while preserving the effective overall organisation.

Lexical Resource: Band 6.5

Your vocabulary is adequate for the task and includes some useful, appropriately formal expressions, such as “poor seating conditions,” “multinational projects,” and “faulty air conditioners.” Meaning remains clear throughout. However, some choices are imprecise or less natural in context: “placed in a comfortable room” suggests visitors are being assigned accommodation, while “more favorable” is vague for describing a visitor experience. There is also a spelling error in “thre.” Aim for more precise collocations and a consistent professional tone; for instance, describe visitors as waiting in a comfortable reception area and refer to improving their experience. These refinements would add flexibility and precision to an otherwise serviceable range.

Grammatical Range and Accuracy: Band 7.0

You use a mix of sentence forms, including complex clauses such as “The air conditioner … has not been functioning properly which leads to the area being very hot” and “as it is the first place where visitors are welcomed.” Most sentences are clear, and the past-to-present framing is generally controlled. A few grammatical and punctuation details need attention. In the air-conditioning sentence, add a comma before “which” because it introduces additional information. The phrase “after a long trip” is separated from “room” by excessive spacing, which disrupts presentation, and “while also servicing the faulty ones” has a slightly unclear subject. Make the actor explicit—for example, “we could replace the faulty units and arrange servicing for any that can be repaired.”
