Student answer (Band 6.5)
Dear Sir,
I hope this letter finds you well. I am writing this to inform you about several complaints regarding reception area of office.
Firstly, reception area is too congested. Only few people can sit there and wait for their turn. Now company has worldwide clients and almost twenty to thirty visitors are present at a time therefore, I would suggest you to enhance the designated area of reception and there should be proper sitting arrangements as well as air conditioning.
Secondly, we have only one front desk receptionist to deal with the visitors. As a result, they have to wait in a long que for their turn. Additionally, receptionist have no access to computer. He has to do all the enteries on paper which is time consuming. We can update this system by enhancing number of receptionist. Moreover, we should provide them copmuters to make their work easy.
Lastly, I would suggest you to add small coffee shop in reception premise. Our guest can relax and enjoy refreshment.
Please feel free to contact me if you have any question.
Yours sincerely,
Samra Javed

Task Achievement / Task Response: Band 6.0
You address all three points: you describe overcrowding and long waits, explain that visitors need a comfortable place to wait, and propose more seating, air conditioning, additional receptionists, computers, and refreshments. The suggestions are relevant and the letter’s purpose is clear. However, the importance of reception is mostly implied rather than explained: for example, you could say that it creates visitors’ first impression of the company and supports a professional welcome. Some proposals also need more development, particularly the coffee shop, whose value to visitors or practicality is not explained. Expanding these points and linking each improvement directly to a complaint would make the response more complete and persuasive.
Coherence and Cohesion: Band 7.0
The letter is organised clearly, with an opening, three body paragraphs introduced by “Firstly,” “Secondly,” and “Lastly,” and a suitable closing. The progression from space and seating to staffing and equipment, then refreshments, is easy to follow. You also use cause-and-effect links such as “As a result” to show why visitors wait. To make the flow more natural, avoid placing several recommendations in one long sentence, as in the first paragraph, and use clearer links between each complaint and its proposed solution. The final suggestion about a coffee shop feels somewhat separate from the earlier problems; a brief transition explaining how it would improve the visitor experience would strengthen the overall progression.
Lexical Resource: Band 6.0
You use an adequate range of vocabulary for the situation, including “congested,” “designated area,” “refreshment,” and “time consuming.” These choices help communicate the main concerns and recommendations. However, some word choices and collocations are inaccurate or awkward, such as “enhance the designated area,” “sitting arrangements,” and “reception premise.” There are also spelling errors in “que,” “enteries,” and “copmuters,” which reduce accuracy. Aim for more natural workplace expressions and check spelling carefully. For example, “expand the reception area” and “seating arrangements” would express your ideas more precisely, while “reception area” is more natural than “reception premise.”
Grammatical Range and Accuracy: Band 6.0
You use a mix of simple and complex sentence forms, including a conditional recommendation (“I would suggest…”) and a result clause (“As a result, they have to wait…”). The meaning remains clear throughout. Some grammatical errors persist, particularly with articles, agreement, and sentence construction. For example, “regarding reception area” needs an article, “Only few people” should be “Only a few people,” and “receptionist have” needs a plural subject or a singular verb. The sentence beginning “Now company has worldwide clients” also needs clearer article use and punctuation around the explanatory clause. Review these patterns and divide longer sentences where necessary to improve control without losing your range.
