Student answer (Band 6.0)

Dear John,

I am writing this letter to explain and provide some suggestions related to the complaints we have been receiving regarding our reception area.

Firstly, I am also aware of the complaints we received related to the reception area. Even a couple of our vendors have also shared their concerns regarding this issue. Not only the place messy, but also there is always litter on the floor. Furthermore, the staff are too busy with their own stuff and don't even provide proper guidance to our guests.

Secondly. I personally believe that reception is the face of the company, and everyone judges and creates an image of the person or company by looking at their faces. Hence, it has become very important to take a proper measures to resolve this issue; otherwise, this will not only affect the business but also create a bad image in the eyes of our suppliers and vendors.

Thirdly, we can start begins with the putting proper signs at the designated areas. Additionally, we need to provide proper instructions to cleaning staff to check it in every interval times. Also, we need to provide proper training to our reception staff and assign a supervisor to supervise them.

I hereby request that you go through my suggestions and try to understand my viewpoints. I am looking forward to your positive response to this letter.

Best Regards,

Krishnkant

Task Achievement / Task Response: Band 7.0

You address all three points clearly: you describe the untidy floor and the reception staff’s lack of guidance, explain that reception shapes visitors’ impressions of the company, and propose signage, more frequent cleaning checks, staff training, and supervision. Your purpose and request to the manager remain clear throughout. The explanation of why reception matters is relevant, though the comparison with judging a person by their face is somewhat general; linking this more directly to visitors’ confidence in the company would strengthen it. The improvement ideas are useful, but could be extended with a little detail about how they would be implemented or who would be responsible.

Coherence and Cohesion: Band 6.5

The letter has a clear overall progression: complaints, importance, proposed improvements, and a closing request. Paragraphing supports this structure, and signposts such as “Firstly,” “Secondly,” and “Additionally” help readers follow the points. This is a coherent arrangement, but the repeated ordinal transitions (“Firstly,” “Secondly,” “Thirdly”) make the organisation feel somewhat mechanical rather than fully flexible. There is also a punctuation break in “Secondly.” where a comma would connect the transition to the sentence. To make the flow more natural, use topic-led openings and link related ideas directly—for example, connect the litter complaint to the proposed cleaning checks.

Lexical Resource: Band 5.5

You use relevant vocabulary for the situation, including “vendors,” “proper guidance,” “designated areas,” and “supervisor,” so the main message is understandable. However, the range is limited by repeated general words and phrases such as “proper,” “issue,” and “reception area.” Some combinations are also unnatural or imprecise, including “staff are too busy with their own stuff,” “in every interval times,” and “positive response to this letter.” These choices reduce precision and formality in a workplace letter. Aim for more specific, natural collocations, such as describing staff as “occupied with other duties” and asking for “regular cleaning checks.”

Grammatical Range and Accuracy: Band 5.5

You attempt a mix of simple and more complex structures, including “Not only … but also …” and “this will not only affect the business but also create a bad image.” The meaning is generally recoverable, but errors occur in several sentence patterns. For example, “Not only the place messy” needs a verb (“is the place messy”), and “we can start begins” combines incompatible verb forms. There are also article and number problems in “take a proper measures,” while “Secondly.” incorrectly separates the transition from the sentence. Review sentence completeness, verb forms, and singular/plural agreement, then proofread punctuation. More accurate control of these patterns would make your ideas easier to read.
