Student answer (Band 6.5)

Dear Mr Alex,

I am writing this letter for the recommendations regarding the improvements of the reception area as our company has recieved lots of complaints regarding this specific space.

One of the major complaint is less siting space in the reception for the visitors. There is only space for 4 people which is very less as we have more visitors in the peak season or in the busy times. Also, there are complaints of no cafeteria where visitors can have water or coffee meanwhile they wait until their work is done.

It is a very important area as people first come to this particular spot after entering into the building premises. Welcoming visitors with drinks and offering them a seat will show an sweet gesture towards them.

I would suggest to increase seating capacity by placing more comfortable seating couch and installing a small refrigerator and a coffee machine so that visitors can serve themselves whenever they need anything. I hope you would like my suggestions and take necessary actions at your eaeliest convenience.

Yours faithfully

Ankit

Task Achievement / Task Response: Band 7.0

You address all three points clearly: you identify limited seating and the absence of refreshments, explain that visitors first encounter the reception area, and recommend additional seating, a refrigerator, and a coffee machine. The purpose and requested action are clear throughout, and the suggestions respond directly to the complaints. The explanation of why reception matters is relevant, but it is brief: developing how the area shapes visitors’ first impression of the company would make this point more fully supported. You could also make the proposed changes more specific, for example by indicating how seating could be arranged or how refreshments would be maintained. Overall, the letter fulfils the task with clear, relevant ideas, though some points could be extended further.

Coherence and Cohesion: Band 7.0

The letter follows a clear progression: it introduces the purpose, describes the complaints, explains the reception area’s importance, and then gives recommendations. Paragraphing supports this sequence, and linking expressions such as “Also” and “I would suggest” help the reader follow the points. The relationship between the complaints and the proposed solutions is generally easy to understand. To make the organisation more polished, use transitions that show the connection between each problem and its remedy, rather than relying mainly on simple additions. The closing sentence also combines a hope for agreement with a request for action; separating these ideas or using a more direct closing would improve the flow. Overall, the organisation is logical and clear, with some room for more flexible cohesion.

Lexical Resource: Band 5.5

You use enough vocabulary to communicate the main points, including “complaints,” “visitors,” “seating capacity,” and “installing.” However, several word choices and collocations are inaccurate or unnatural, which limits precision. For example, “less siting space” and “very less” do not express the intended idea naturally, while “an sweet gesture” is an awkward phrase. “Cafeteria” may also suggest a larger food-service area than the small refreshment facility you describe. There are spelling errors in “recieved” and “eaeliest.” Aim for accurate, natural phrases such as “limited seating,” “a welcoming gesture,” and “refreshment facilities.” This would make the letter sound more professional while preserving its clear meaning.

Grammatical Range and Accuracy: Band 6.0

You use a mixture of simple sentences and longer structures, including the reason clause in “as our company has…” and the time clause in “whenever they need anything.” Meaning remains clear, but some grammatical errors occur. In “One of the major complaint is,” the noun should be plural after “one of the,” and “There is only space for 4 people” would be more accurate as “There is space for only four people.” The phrase “Welcoming visitors with drinks and offering them a seat will show…” also needs an article before “sweet gesture.” Check agreement, articles, and sentence construction carefully. More consistently accurate sentences, alongside the complex forms you already attempt, would strengthen grammatical control.
