Student answer (Band 7.0)
Dear Sir,
I am writing in response to your email asking me about the suggestions that we can imply on improving our reception area.
Firstly, I want to let you know the most common complaints that our visitors make. As per visitors, they do not find any front desk agent at times on the reception. Moreover, our visitors are also disappointed because some of our staff lack fluency in the local language. Also, during regular operating hours, visitors have to wait in a long queue and complain about not having any seating arrangements.
In my opinion, the reception area plays a pivotal role in demonstrating the company's ethics and reputation and it also displays how welcoming we are to our visitors.
I have a few suggestions which can help us improve and mitigate any such future complaints. Firstly, we have to hire more staff for front desk as the current staff also handle some other operations due to which they are not available at reception sometimes. Secondly, we have to conduct an orientation meeting in which we will be discussing the language proficiency and greeting etiquettes. Lastly, we need to arrange some furniture like chairs and couch which will accommodate our clients when the reception will be busy. Having a coffee machine and a vending machine at reception will be a cherry on top.
I hope you would go through my suggestions and please write me an email if you want my further help in implying any of my suggestions.
Yours Truly,
Jaspreet Singh Virdi

Task Achievement / Task Response: Band 7.5
You address all three parts of the task and maintain a clear, appropriate purpose throughout. The complaints are specific—staff are sometimes absent, some lack local-language fluency, queues form, and seating is unavailable. You also explain the reception’s role in shaping the company’s reputation and welcome, then offer relevant remedies, including additional front-desk staff, language and greeting training, seating, and refreshments. These ideas are extended with brief explanations, such as staff having other duties. To strengthen the response further, develop the importance of the reception area a little more and make the proposed actions more precise—for example, indicate how staffing coverage or language training could be organised. The closing is courteous and supports the letter’s purpose.
Coherence and Cohesion: Band 7.0
The letter has a clear progression: it introduces the purpose, lists complaints, explains the reception’s importance, and then presents solutions before closing. Paragraphing helps distinguish these functions, and signposts such as “Firstly,” “Moreover,” “Secondly,” and “Lastly” make the sequence easy to follow. This is a coherent and generally well-managed structure. However, the repeated sequencing words make some transitions feel mechanical, and the complaints and recommendations are presented mainly as lists. You could create smoother links by grouping each problem with its corresponding solution, or by using more varied transitions and reference—for instance, connect the lack of seating directly to the suggestion to provide chairs. This would make cohesion more flexible and less dependent on explicit markers.
Lexical Resource: Band 6.5
You use an adequate range for a formal workplace letter, including more specific expressions such as “pivotal role,” “language proficiency,” and “mitigate.” The meaning remains clear, and the vocabulary covers the complaints and proposed improvements effectively. There are also some noticeable word-choice and collocation issues: “imply on improving” is not natural in this context, “ethics” is less suitable than a term describing company image, and “a cherry on top” is too informal for a letter to a manager. “Greeting etiquettes” is also an awkward phrase. These choices show attempts at less common vocabulary, but not always with accurate style or collocation. Prefer direct, natural expressions such as “suggest ways to improve,” “professional image,” and “greeting etiquette.”
Grammatical Range and Accuracy: Band 6.5
You use a mix of simple and complex sentence forms, including clauses explaining causes and conditions, as in “because some of our staff lack fluency” and “as the current staff also handle some other operations.” Most sentences communicate the intended meaning, and the letter’s structure is easy to understand. Some grammatical inaccuracies remain. For example, “at times on the reception” has an awkward prepositional construction, while “when the reception will be busy” uses an unnecessary future form in a time clause. The final request, “please write me an email if you want my further help,” also needs clearer sentence structure and punctuation. Review prepositions and verb forms in subordinate clauses, and check long sentences for clean clause boundaries. Greater accuracy across these patterns would improve control.
