Student answer (Band 6.5)

Dear Mr. Smith,

I am writing to suggest few emendments regarding the reception area for its betterment.

Lately, customers show dissatisfaction about the reception lobby. Majority of complains are related to sitting facility and about the unsufficient lighting. Visitors, particulary people with special needs, prefer comfortable chairs and extra space for thier wheel chairs.

The enterance area is crucial for our business and customer satisfaction is our first priority. It would significantly improve relationship with our clients if we start working on their current issues, which they faced in our office.

The interiors is appropirate according to the company's theme. It would be great if we replace the plastic chairs with leather chairs it will not only provide comfort to our customers but also provide a new look to the reception zone. Apart from sitting, if we incorporate more decorative hanging lights, which can significantly enhance the beauty of our entrenace foyer.

I would really appreciate if you consider these ideas for re-arrangement in the enterance area.

Task Achievement / Task Response: Band 7.0

The letter addresses all three requirements: it reports complaints about seating and lighting, explains that the entrance area matters for customer satisfaction, and proposes replacing plastic chairs and adding decorative lights. The suggestions are relevant and the purpose is clear throughout. The point about wheelchair users adds useful specificity, while the explanation of the reception area’s importance is less developed: “crucial for our business” and “customer satisfaction is our first priority” would be stronger with a brief explanation of how the reception shapes visitors’ first impressions. The proposed improvements could also be tied more directly to the lighting complaint. Overall, the task is covered clearly, with ideas extended but some support remaining general.

Coherence and Cohesion: Band 7.0

The letter has a clear progression from its purpose, to the complaints, to the importance of the reception area, and finally to proposed changes. Paragraphing helps distinguish these stages, and links such as “Lately,” “Apart from sitting,” and “I would really appreciate” guide the reader through the message. The overall organisation is easy to follow. Some connections between ideas could be more explicit: the paragraph about the company’s theme does not clearly explain how it relates to the proposed lighting, and the final request could refer directly to the specific changes. More precise linking and reference would make the progression feel more consistently integrated.

Lexical Resource: Band 5.5

The response uses vocabulary relevant to the setting, including “reception lobby,” “special needs,” “comfortable chairs,” and “decorative hanging lights.” It also attempts more formal expressions such as “customer satisfaction” and “re-arrangement.” However, noticeable spelling and word-choice errors reduce accuracy, including “emendments,” “unsufficient,” “enterance,” and “thier.” Some combinations are unnatural or imprecise: “sitting facility” would be better expressed as “seating,” and “enhance the beauty” is less natural in a business letter than “improve the appearance.” Aim for accurate, conventional collocations rather than choosing formal-sounding words that do not fit the context. Proofreading spelling and word forms would make the message more fluent and professional.

Grammatical Range and Accuracy: Band 5.5

The letter attempts a mix of simple and more complex structures, including the conditional “It would significantly improve relationship … if we start working” and the clause beginning “if we incorporate more decorative hanging lights.” These attempts show some range, but several sentences contain errors in agreement, articles, or sentence construction. For example, “The interiors is appropriate” has a subject–verb agreement problem, while “It would be great if we replace … it will not only provide” joins clauses without a clear grammatical structure. “I would really appreciate if you consider” also needs a more complete construction, such as “I would really appreciate it if you would consider.” Review agreement and practise joining clauses accurately to improve control.
