Student answer (Band 6.0)
Dear Sir,
I am writing this letter to bring your attention towards the major area of our company which needs to be improved as soon as possible. I would like to give you my suggestions on how we can make it attractive by taking into consideration the problems we are facing in this area currently.
As far as the problems are concerned, about every visitor has complaint about the ventilation facilities, as it gets too cold in the winters because we didnot installed the heating system there. It makes them uncomfortable to wait sometimes. Moreover, we don't have enough seating area in our reception room which again creating a problem when we have alot of people visiting us.
Furthermore, we cannot deny the fact that reception area is the heart of every organization. Whatever we will showcase them at the front step, the same imagination they will be building up about the company's profile. Therefore,it is our responsibility to keep the company's good image ongoing. As per asked about the suggestions , i would like to request you to not only install the heaters for winters, but also to allot extra chairs to tackle the seating issues.
I hope you would definitely consider my opinion regarding this problem.
Yours sincerely,
Navpreet Kaur

Task Achievement / Task Response: Band 6.5
You address all three points: you describe complaints about cold conditions and insufficient seating, explain that reception shapes visitors’ impressions, and recommend heaters and additional chairs. The purpose is clear and the suggestions are relevant. The explanation of importance is particularly effective in “the same imagination they will be building up about the company’s profile,” though this idea could be expressed more precisely and supported with a clearer link to trust or professionalism. The complaints are also somewhat general: “about every visitor” does not indicate how often the issues occur or how they affect visitors in practice. Your letter is appropriately formal, but developing these details and making the recommendations more specific would make the response more complete and persuasive.
Coherence and Cohesion: Band 6.5
The letter has a clear overall arrangement: an opening purpose, a paragraph on complaints, an explanation of the reception area’s importance with suggestions, and a polite closing. This makes the main message easy to follow. You also use linking expressions such as “Moreover,” “Furthermore,” and “Therefore” to connect ideas. At times, however, these transitions feel mechanical, and the importance of reception and the proposed improvements are combined in one paragraph, making the progression less distinct. Some connections are also unclear, as in “Whatever we will showcase them at the front step,” where the reference is difficult to follow. Separate the rationale from the recommendations and use more precise links between each complaint and its solution.
Lexical Resource: Band 6.0
Your vocabulary is adequate for the task and includes some useful formal expressions, such as “ventilation facilities,” “uncomfortable,” and “company’s profile.” These choices help communicate the complaints and explain why the reception area matters. However, several phrases are imprecise or unnatural, including “bring your attention towards,” “major area,” and “keep the company’s good image ongoing.” “Imagination” is also not the right word for the impression visitors form. Spelling and spacing are inconsistent in forms such as “didnot” and “alot.” Aim for more natural collocations and precise wording, while keeping the tone professional. This would make your ideas clearer and show more flexible control of vocabulary.
Grammatical Range and Accuracy: Band 5.5
You attempt a mix of simple and complex sentences, including clauses introduced by “as” and “when,” and the overall meaning remains understandable. Some grammatical errors nevertheless occur. For example, “every visitor has complaint” needs an article, while “we didnot installed” has an incorrect verb form; “which again creating a problem” also lacks a finite verb. There are agreement and sentence-boundary issues in “we don’t have enough seating area … which again creating,” and punctuation spacing is inconsistent. The sentence beginning “Whatever we will showcase them” is difficult to interpret partly because its structure is incomplete. Review articles, verb forms, agreement, and clause construction, then proofread punctuation. More consistently accurate complex sentences would strengthen the response.
