Student answer (Band 5.5)

Dear Mr. Singh,

I am writting this letter to you for informing you to make changes and improvements in the reception area. I came to know about this from the complaints we got from our customers and visitors to our company. It is advisable to make it more spacious as there are a number of visitors come to this company on daily basis and sometimes, they have to wait here. We do not have much sitting area in front of reception and they always wait in the queue by standing. We need to arrange the more space to sit and we can organize it to make it peaceful. We can install a TV to play slow and calm music. We can also put some snacks and refreshments for them to make this space more peaceful. I will be waiting foryour reply with the arrangements letter from you.

Yours Sincerely,

Inder

Task Achievement / Task Response: Band 5.5

You address the main situation by reporting that visitors wait standing in a queue because there is insufficient seating, and you suggest more space, seating, music, and refreshments. These are relevant ideas, but the task is only partly fulfilled: the complaints are not clearly presented as several distinct concerns, and the importance of reception is implied rather than explained. For example, you could say that reception creates visitors’ first impression of the company and affects how professionally they are welcomed. Some suggestions also need clearer justification or detail, such as how the space could be reorganised. A more explicit explanation of each task point would make the letter more complete and persuasive.

Coherence and Cohesion: Band 5.0

The letter follows a broadly understandable order: it introduces the issue, describes the lack of seating, offers improvements, and closes with a request for a reply. However, most of the content is placed in one long paragraph, so the progression between the complaints, the importance of reception, and the recommendations is not clearly signposted. Several ideas are joined with repeated “and” or “we can,” which makes the suggestions feel like a list rather than a developed sequence. The phrase “I will be waiting for your reply with the arrangements letter from you” also makes the closing purpose unclear. Separate the main points into paragraphs and use clearer links such as “In addition” and “As a result” to guide the reader.

Lexical Resource: Band 5.5

You use enough vocabulary to communicate the central issue and several practical suggestions, including “visitors,” “queue,” “spacious,” and “refreshments.” There are also attempts to use more formal language, such as “It is advisable.” However, some word choices and combinations are unnatural or imprecise: “sitting area” would be more naturally expressed as “seating area,” and “make this space more peaceful” does not clearly explain the purpose of snacks and refreshments. “Arrangements letter” is also unclear in this context. Spelling errors such as “writting” and the joined form “foryour” reduce accuracy. Aim for precise workplace vocabulary and check spelling and collocations before submitting.

Grammatical Range and Accuracy: Band 5.5

The response communicates its main meaning and includes some attempts at longer structures, for example, “as there are a number of visitors come to this company on daily basis.” However, this sentence shows problems with clause structure; write “as a number of visitors come to the company daily.” Other errors include “we do not have much sitting area,” where the article and noun phrase need adjustment, and “they have to wait here,” whose reference could be clearer. The sentence beginning “I am writting this letter to you for informing you” also uses an awkward grammatical pattern; “I am writing to inform you” is more accurate. Practise combining clauses accurately and checking articles, verb forms, and sentence boundaries.
