Student answer (Band 6.0)
Dear Manager,
I am writing this letter to you about the concern that how we can improve the reception area. There are many complaints from the customers that there are few chairs for sitting and sometimes they have to wait for long time and there is no air conditioner service . According to my point of view reception area is very important because this way we can inform to the customers that how long they have to wait for their turn and any basic information they need from us .
However, we can improved the reception area by setting some comfortable couches and tables. Also, we can put some magazines and books for example how to be fit , religious and games charts so that customers using these things while waiting for their turn. Moreover we will place some fresh plants to make the reception area looking well.
I hope you will look at my ideas. Thank you.
Your faithfully,
XYZ

Task Achievement / Task Response: Band 6.0
You address all three points: you report complaints about too few chairs, long waits and the lack of air conditioning; explain that reception provides visitors with information; and suggest couches, tables, reading materials and plants. These are relevant, practical ideas, so the purpose of the letter is clear. Some points are less fully developed than others, however. For example, you could explain how the lack of air conditioning affects visitors, and clarify how reception staff would communicate waiting times. The importance of the area is also described briefly. A more complete explanation of its role in creating a welcoming first impression, alongside specific details about the proposed improvements, would make the response more fully developed.
Coherence and Cohesion: Band 6.5
The letter has a clear overall arrangement: you introduce the issue, explain the importance of reception, present improvements, and close politely. Paragraphing helps distinguish these stages, and linking expressions such as “Also” and “Moreover” make the suggestions easy to follow. This gives the response coherent progression. Some connections are less smooth, though: “However” does not clearly contrast with the preceding explanation, and the long opening paragraph combines complaints with the area’s importance. The sequence of suggestions would also be clearer if each were linked to a specific complaint—for instance, connecting comfortable seating to long waits. More precise transitions and paragraphing would make the organisation feel less mechanical and more consistently controlled.
Lexical Resource: Band 5.5
You use enough vocabulary to communicate the main points, including “complaints,” “comfortable couches,” “magazines,” and “fresh plants.” The suggestions are generally understandable and relevant to a reception area. However, several word choices and combinations are unnatural or imprecise, such as “chairs for sitting,” “air conditioner service,” and “make the reception area looking well.” The phrase “games charts” is also unclear, and “religious” does not specify what kind of reading material you mean. These choices sometimes make the reader pause to interpret your meaning. Aim for more natural collocations and precise nouns, such as “seating,” “air conditioning,” and “informational brochures,” while keeping the language appropriate for a formal letter.
Grammatical Range and Accuracy: Band 5.5
You use a mix of simple sentences and longer structures, including a sentence explaining why reception matters and another listing several improvements. The main message remains understandable, but some grammatical errors occur in verb forms, articles and sentence construction. For example, “we can improved” should be “we can improve,” while “the concern that how” needs a different structure, such as “the issue of how.” In “customers using these things,” the clause needs a finite verb, for example, “customers can use these items.” There are also missing or misplaced articles and punctuation spaces, as in “for long time” and before the full stop after “service.” Check verb patterns after modal verbs, and review articles and sentence boundaries to improve accuracy.
