Student answer (Band 6.5)
Dear Sir,
I hope you are doing well. I am writing to give you suggestions for certain changes to improve the reception area because of issues faced by visitors.
First of all, there are some complaints which are commonly done by clients such as inadequate seating arrangements and unavailability of water dispenser. Moreover, some people have to stand for sometime which makes them fatigue and due to hot weather they are unable to wait for longer time without cold drinking water.
Furthermore, reception area is very significant because when a client enters in an organization it is a first point for a conversation with receptionist regarding their appointments. It also leaves an lasting impact on their minds about an organization.
In addition to this, the company should makes some specific alterations to reduce the complaints. Firstly, the owner should enlarge the reception area to incorporate more seats for seating. Secondly, nowadays, because of summer season, the dispenser in our office should be shifted to the reception area.
I hope you would consider my suggestions and would make changes to make customers happy.
I am looking forward to your response.
Yours sincerely,
Nosheen

Task Achievement / Task Response: Band 7.0
You address all three requested points and maintain a clear, appropriate purpose throughout. The complaints are specific—insufficient seating and no water dispenser—and you explain the reception’s importance as visitors’ first point of contact and a source of lasting impressions. Your proposed changes also respond directly to those concerns. To make the ideas more fully developed, explain how the changes would improve visitors’ experience or the company’s image, and clarify the practical suggestion to move the dispenser. The letter is suitably polite and directed to your manager, although a more specific greeting could make the relationship feel more natural. Overall, the response covers the task clearly, with some ideas supported more fully than others.
Coherence and Cohesion: Band 7.0
The letter has a clear progression: it introduces the purpose, describes complaints, explains the reception’s importance, and then offers solutions. Paragraphing helps the reader follow these stages, and signposts such as “First of all,” “Furthermore,” and “In addition to this” make the sequence explicit. The closing is also appropriate. To strengthen the flow, use a more varied and less formulaic range of transitions; several paragraphs begin with linking phrases that announce the next point rather than connecting ideas naturally. You could also link each proposed improvement directly to the complaint it addresses. Overall, the organisation is logical and easy to follow, though cohesion is somewhat reliant on overt signposting.
Lexical Resource: Band 6.0
Your vocabulary is adequate for the purpose, and phrases such as “inadequate seating arrangements,” “lasting impact,” and “specific alterations” show attempts to use more formal language. The meaning remains clear throughout. However, some word choices and collocations are inaccurate or awkward, including “complaints which are commonly done,” “makes them fatigue,” and “more seats for seating.” “Owner” is also not the most suitable term for a company manager in this context. Aim for natural combinations such as “complaints raised by clients,” “make them feel tired,” and “provide additional seating.” Greater precision and more consistent control of collocation would make the letter sound more fluent and professional.
Grammatical Range and Accuracy: Band 6.0
You use a mix of simple and more complex sentence forms, including clauses explaining causes and effects, as in “due to hot weather they are unable to wait for longer time.” Most sentences communicate the intended meaning, but some grammatical errors remain. For example, “the company should makes” needs the base verb “make,” and “it is a first point” requires a different article or construction. In “the reception area to incorporate more seats,” the sentence structure is understandable but could be expressed more cleanly. Review subject–verb agreement, articles, and verb patterns, and check punctuation around longer sentences. These corrections would improve accuracy while preserving the range of structures you already attempt.
