Student answer (Band 6.0)
Dear Sir,
I am writing this to express my disappointment regarding the front desk area. I already had a conversation with the manager of reception area named Jessy, but still there are several problems.
Firstly, I would like to talk about the complaints that have been made, which are; cleaniness of the area, unavailability of the reception staff while guests were waiting for a representative.
Secondly, If we talk about how important this area is, 'First impression is the last impression'. Every visitor have to register themself at the reception and if it is not well cleaned, they might build a negative image in their mind about our company. Also, as our company is organising a job fair event, that area becomes more cruicial as they have to attend every guest.
Lastly, I would like to share some workable solution which I think can to overcome from this problem. First of all, there should a checklist posted on the daily board where cleaners have to check in every hour whenever they are done cleaning. This would make sure that every corner of the building is cleaned. Another solution is, our management team can hire a manager especifically for the reception work, so that the manage can make the schedule accordingly.
I would appreciate your efforts towards this.
Your Regards,
Harshdeep.

Task Achievement / Task Response: Band 6.5
You address all three requested points: you identify cleanliness and staff availability as complaints, explain that visitors form an impression of the company at reception, and propose hourly cleaning checks and dedicated reception management. The purpose is clear throughout, and the job fair gives useful context. However, some ideas are less fully developed than others. For example, the cleaning checklist is explained, but the staffing proposal could clarify whether the new manager would be present at reception or coordinate existing staff. The complaints could also be made more specific by describing what visitors experience while waiting. A more appropriate, direct opening and a conventional closing would make the letter feel more complete and suitably professional.
Coherence and Cohesion: Band 7.0
The letter has a clear progression from the complaints, to the importance of reception, and then to proposed solutions. Paragraphing supports this structure, and signposts such as “Firstly,” “Secondly,” and “Lastly” make the sequence easy to follow. The ideas within each paragraph are generally connected, particularly the link between a clean reception and visitors’ impressions. However, the repeated numbered transitions make the organisation somewhat formulaic. The opening also introduces a previous conversation with Jessy without explaining how it relates to the complaints, which slightly interrupts the focus. Use more natural links between ideas and ensure each sentence clearly develops the point before moving on.
Lexical Resource: Band 5.5
You use enough vocabulary to communicate the main points, including relevant terms such as “front desk,” “representative,” “negative image,” and “checklist.” There are also attempts at more specific language, such as “workable solution.” However, noticeable spelling and word-choice errors reduce precision: “cleaniness,” “cruicial,” and “especifically” are misspelled, while “overcome from this problem” is an unnatural phrase. “Manager of reception area” and “manager for the reception work” are also awkwardly expressed. These issues do not prevent the reader from understanding your proposals, but more accurate collocations and careful proofreading would make the letter sound more natural and professional.
Grammatical Range and Accuracy: Band 5.5
You attempt a mix of simple and complex sentence forms, including a conditional idea in “if it is not well cleaned, they might build a negative image” and a relative clause describing the complaints. The overall meaning remains clear, but some grammatical errors occur across the letter. For example, “Every visitor have” needs subject–verb agreement, and “there should a checklist” is missing “be.” In “the solution which I think can to overcome,” the verb pattern is faulty; use “a solution that could overcome” or “a solution that could help address.” There are also errors in “they have to attend every guest” and inconsistent capitalisation after “Secondly.” Review agreement, verb patterns, and sentence punctuation while retaining your attempts at longer structures.
