Student answer (Band 6.0)

Dear Sir,

This letter will discuss about various complaints that has been received by the clients about our reception area where they arrive and wait for the scheduled meeting. Also, it will touch upon some improvements that can be done to improve their experience while they wait in the lobby.

One of the most common complaint is about the sitting arrangement and the lack of personal touch on our furniture. At the moment the reception room has a L-shape arrangement and no chair which makes unknown people feel uncomfortable sitting close at the first meeting. Also, we need some refreshments for the guest to make the relaxing environment. For instance, some of our clients arrive from different city commuting significant distance and many times to honour our time they don't stop for coffee to be present before time.

As it creates the first impression of our company and the stature of work we give to our clients reception room should be striking at the first glance. Thus decor needs to improved with comfortable chairs on the sides with three on each side with table that can accomodate atleast three groups at time.

I hope after the above changes it will provide visitor with more welcoming experience.

Kind Regards,

Jane

Task Achievement / Task Response: Band 6.5

You address all three requested points: you identify complaints about seating and the lack of refreshments, explain that the reception creates a first impression, and propose changes to the layout and décor. The suggestions are relevant and the example of clients travelling a long distance helps explain why refreshments would be useful. However, the complaints are not always clearly separated from your proposed solutions, and the importance of the reception is explained briefly rather than developed. The seating proposal—three chairs on each side and a table for three groups—would be stronger if you explained how it would resolve the discomfort visitors experience. The letter is appropriately directed to your manager, but a more explicit, developed explanation of each point would make the response more complete.

Coherence and Cohesion: Band 6.5

The letter has a clear overall structure: an opening, paragraphs covering the complaints and the reception’s importance, and a closing recommendation. Linking expressions such as “Also,” “For instance,” and “Thus” help show how ideas relate, and the reader can follow the main message. Some connections are nevertheless mechanical or unclear. For example, “This letter will discuss” and “Also, it will touch upon” announce the structure rather than moving naturally into the points, while “As it creates the first impression … reception room should be striking” compresses the reasoning and makes the relationship between ideas harder to follow. Use more direct topic sentences and make each paragraph’s purpose distinct; clearer links between the complaint, its effect on visitors, and the proposed remedy would strengthen progression.

Lexical Resource: Band 6.0

You use an adequate range of vocabulary for a formal workplace letter, including “scheduled meeting,” “personal touch,” “stature,” and “welcoming experience.” These choices communicate the topic, and the example about clients travelling from another city adds useful specificity. Some word choices and collocations are inaccurate or awkward, however: “sitting arrangement” is less natural than “seating arrangement,” “make the relaxing environment” does not express the intended meaning idiomatically, and “striking at the first glance” is an unnatural phrase. There are also spelling errors in “accomodate” and “atleast.” Aim for precise, natural collocations and check spelling carefully; this would make the vocabulary more flexible and professional without changing your ideas.

Grammatical Range and Accuracy: Band 5.5

You attempt both simple and more complex sentence forms, including the example beginning “For instance” and the clause “As it creates the first impression…”. The main meaning is generally understandable, but some grammatical errors remain. For example, “complaint is” needs plural agreement (“complaints are”), and “complaints that has been received” has a subject–verb agreement error. The phrase “decor needs to improved” is missing “be,” while “provide visitor with” needs an article or plural form. Some long sentences also lack clear punctuation, particularly the sentence beginning “As it creates…”. Review agreement, articles, passive verb forms, and sentence boundaries, then proofread complex sentences to ensure their structure remains controlled.
