Student answer (Band 6.5)

Dear Sir,

I am writing to express my concern regarding how we can improve the reception area. To begin , i would like to explain the complaints from the customers that there are no chairs for sitting and they have to wait for long time by standing in queues. Also, there is only one employee working in the reception, in busy times it is hard to handle the crowd of customers by one employee. I beleive that we should improve the reception area with setting of comfortable couchs and tables. Moreover, hire one more employee so that customers do not need to wait for their turn.

Furthermore, i would like to highlight some other complaints that the reception area is so narrow in busy time the area looks so crowded with just 4 to 5 customers. In addition, the decoration of reception area looks so old. I reccompmend to extend the space of the area and renovate the area with fresh plants, change the colour of walls and put some motivational books on the tables so that customers can read in their waiting time .

Finally, i believe that we should improve the reception because it makes visitors feel comfortable and welcome. Also, it creates a good first imprresion on visitors.

I look forward to hearing from you soon.

Yours faithfully

Task Achievement / Task Response: Band 7.5

You address all three requirements: you describe complaints about seating, queues, staffing, limited space and dated decoration; explain that the reception makes visitors feel welcome and creates a first impression; and propose practical changes. The suggestions are generally relevant and specific, such as adding seating, hiring another employee and refreshing the décor. Your purpose is clear throughout, and the formal opening and closing suit a letter to a manager. To develop the response further, explain more directly how the proposed changes would resolve particular complaints—for example, how extending the area would ease crowding. The importance of reception is stated clearly but briefly; a little more explanation of its effect on visitors’ view of the company would make the ideas more fully supported.

Coherence and Cohesion: Band 7.0

The letter has a clear overall progression: it introduces the concern, presents complaints and recommendations, explains the reception’s importance, and closes appropriately. Paragraphing helps separate these functions, and linking expressions such as “Furthermore,” “In addition,” and “Finally” guide the reader. The sequence is understandable, although the first paragraph combines complaints and recommendations, while the next returns to complaints before offering further solutions. This makes the organisation slightly less smooth than it could be. Group each complaint with its corresponding recommendation, or use separate paragraphs for complaints, improvements and importance. Some transitions, including “Also” and “Moreover,” are used in a list-like way; clearer links showing cause and effect would make cohesion more flexible.

Lexical Resource: Band 5.5

You use enough vocabulary to communicate the main points, including “reception area,” “crowded,” “renovate,” and “first impression.” However, the range is limited in places, and several word choices or collocations sound unnatural or imprecise, such as “setting of comfortable couchs,” “handle the crowd,” and “fresh plants.” Spelling errors—including “beleive,” “reccompmend,” and “imprresion”—are noticeable and reduce the accuracy of the vocabulary. Repeated use of “area,” “customers,” and “improve” also limits variety. Aim for more natural workplace expressions, such as “provide comfortable seating,” “manage the queue,” and “update the décor,” and check spelling carefully before submitting.

Grammatical Range and Accuracy: Band 5.5

You attempt both simple and more complex sentences, including clauses with “so that” and “because,” and the main message remains understandable. However, control is inconsistent, and errors recur in sentence construction, articles, agreement and punctuation. For example, “in busy times it is hard to handle the crowd … by one employee” needs clearer sentence structure, while “the reception area is so narrow in busy time the area looks so crowded” joins two clauses without appropriate punctuation or a linking word. There are also missing or incorrect articles and plural forms in phrases such as “for long time” and “in their waiting time.” Practise building accurate complex sentences and proofread for sentence boundaries, articles and singular/plural agreement.
