Student answer (Band 6.0)
Dear Sir,
I am writing this to provide a few solutions regarding an issue related to the front desk area of our company 'The Scotiabank'. As there were many negative feedbacks given by the visitors.
Firstly, let's talk about the complaints we recieved which includes: absence of a representative at the reception when needed, cleaniness in the sitting area and excessive wait time to book an appointment with our company manager. Also, a few individuals called out on the unprofessional beheviour of an employee working on front desk.
Moving forward, the reception area plays a vital role to describe the company's environment as some people believes in the term 'First impression is the last impression'. Moreover, our company is organising a board meeting on next friday (23rd august), it is important to greet every visitor according to the rulebook.
Lastly, I am suggesting some workable solutions which may help this area to be improved which are: HR should hire a manager who can make schedule for the employees so that we we will not get any complaints regarding the absence and the old employees should be re-trained so that they can treat every visitor professionally.
I will look forward to hear from you,
Your regards,
Harsh

Task Achievement / Task Response: Band 6.5
You address all three requested points: you identify complaints about reception coverage, cleanliness, waiting times and an employee’s conduct; explain the importance of first impressions; and propose staffing and retraining measures. The purpose of writing to your manager is clear. The explanation of importance is relevant, but the board meeting detail is not fully connected to how the reception area matters, and the proposed solutions do not directly address cleanliness or long appointment waits. The staffing suggestion is also somewhat unclear about who would be hired and how this would reduce waiting. To strengthen the letter, link each complaint to a specific, practical improvement and develop the reasons for prioritising reception more fully.
Coherence and Cohesion: Band 7.0
The letter has a clear overall progression, moving from the complaints to the importance of reception and then to recommendations. Paragraphing supports this sequence, and signposts such as “Firstly,” “Moving forward” and “Lastly” help the reader follow your points. Some linking is mechanical, however, and the opening fragment, “As there were many negative feedbacks given by the visitors,” is not smoothly connected to the preceding sentence. The final paragraph also combines several recommendations in one long sentence, making their relationship less clear. Use transitions more selectively, connect the opening ideas into a complete sentence, and separate distinct recommendations so the progression feels more natural.
Lexical Resource: Band 5.5
You use a relevant range of workplace vocabulary, including “representative,” “appointment,” “unprofessional behaviour,” “vital role” and “re-trained,” so the main message is understandable. However, several word choices, collocations and spelling errors reduce precision and naturalness. For example, “negative feedbacks” is not the usual form, “cleaniness” is misspelled, and “called out on the unprofessional beheviour” is awkward in this context. “Describe the company’s environment” does not express the intended idea as precisely as language about representing the company. Aim for accurate, natural collocations and check spelling carefully; this will make your recommendations sound more professional and assured.
Grammatical Range and Accuracy: Band 5.5
You attempt both simple and more complex sentence forms, and the reader can generally understand your meaning. Some grammatical errors remain, particularly in sentence boundaries, agreement, articles and verb patterns. The opening “As there were many negative feedbacks given by the visitors” is a dependent clause presented as a sentence, while “some people believes” has a subject–verb agreement error. In “I will look forward to hear from you,” the verb pattern should be “look forward to hearing.” The recommendation sentence is also difficult to control because it joins several ideas with “which are.” Practise complete sentence construction and review agreement and verb patterns, then divide long sentences where needed.
