Student answer (Band 7.0)
Dear Mr Chauhan,
I hope this letter finds you well. Thank you for asking my feedback to improve the reception area. I understand that you are receiving negative feedback from our customers about the maintenance and cleaniness of the front desk area. According to my knowledge, there are also some complaints about night staff which I am really concerened about.
Moreover, it is an extremely important to well present this area because it represents our company's value and culture. In addition, it is the first meeting point for our customers to check in as well as to solve any enquiries related to our products and sevices.
However, we are facing this problem because our housekeeping department is short staff. We need more people in housekeeping during night. Furthermore, it would be even better if we can schedule maintenance for our front desk area as I believe we need deep cleaning of sofas and carpets in check in area. This will significantly improve our services. We can also train our night staff in dealing with customers complaints and enquiries more effectively during night. I hope you will take my suggestions into consideration.
I look forward to hearing from you soon regarding this matter.
Yours sincerely,
Jasmeen

Task Achievement / Task Response: Band 7.5
The letter addresses all three requirements and maintains a suitable, respectful tone for writing to a manager. You identify complaints about cleanliness and maintenance, as well as concerns about night staff; explain that reception represents the company and is where customers seek help; and offer relevant actions, including additional night housekeeping, scheduled deep cleaning, and staff training. These ideas are clearly connected to the task and supported with practical detail. To make the response more fully developed, specify what visitors have said about the night staff or describe the effects of the current problems, rather than referring generally to “some complaints.” You could also make the proposed actions more precise, for example by suggesting a cleaning schedule or a training plan.
Coherence and Cohesion: Band 7.0
The letter has a clear progression: it introduces the complaints, explains the importance of reception, and then presents causes and solutions. Paragraphing supports this sequence, and linking expressions such as “Moreover,” “In addition,” and “Furthermore” help connect related points. The opening and closing also suit the letter format. At times, however, the links feel somewhat formulaic, and “However” does not clearly signal a contrast before the explanation of staffing shortages. The relationship between the complaints and the proposed remedies could be made more explicit. For example, connect the shortage of housekeeping staff directly to the cleanliness complaints, then link staff training to the concerns about customer service. This would make the progression feel more seamless.
Lexical Resource: Band 6.0
You use an adequate range of vocabulary for the purpose, including relevant terms such as “maintenance,” “represents,” “deep cleaning,” and “enquiries.” These choices communicate the main points clearly, and the tone is generally appropriate. However, some word choices and collocations are inaccurate or awkward, including “cleaniness,” “short staff,” and “asking my feedback.” There are also spelling errors in “concerened” and “sevices.” These do not prevent understanding, but they reduce precision and control. Aim to learn common workplace collocations and check spelling carefully. More precise wording for the complaints and the proposed improvements would also help you express the ideas with greater flexibility.
Grammatical Range and Accuracy: Band 6.5
The response includes both simple and more complex sentence forms, such as the clause beginning “because our housekeeping department is short staff” and the conditional suggestion “if we can schedule maintenance.” Most sentences are understandable, and errors rarely obscure your meaning. Some grammatical inaccuracies remain, however. For example, “it is an extremely important to well present this area” has an unnecessary article and an awkward infinitive structure; “it is extremely important to present this area well” would be more accurate. In “if we can schedule,” use “could” to make the suggestion more appropriately tentative. Also, “during night” needs an article or a different construction, such as “at night.” Greater accuracy in these patterns would strengthen your control.
