Student answer (Band 6.0)
Hello Manager,
I am writing to provide you feedback received from visitors at reception complaining about several issues. Visitors have complained about reception having intermittent internet, AC not cooling enough it is very hot in the receiption area and most importantly people have come with urgent need to find no one is available in reception to answer them.
Reception is very important to our companies reputation, it represents our brand and our hospitality such complaints could ruine our reputation.
I contacted the AC and Wi-Fi company which we had used before they would perform maintenance over the weekend and the issue of AC and Wi-Fi would be fixed latest by next week. I talked to the receptionist and she said she doesn't have any one to cover for her when she is on lunch break. I could put a board stating office hours so people are aware of her timings.
By next week we would have all the issues fixed. Thanks for you patience.
Yours faithfully,
Swetta

Task Achievement / Task Response: Band 6.5
You address all three requested points: you report complaints about the internet, air conditioning and reception cover; explain that reception represents the company’s reputation and hospitality; and propose maintenance and a notice showing office hours. The practical actions make the letter useful, and the promise that the issues will be resolved gives it a clear purpose. However, the importance of reception is explained briefly, and the proposed notice does not fully solve the problem of visitors arriving when the receptionist is away. The maintenance plan is also stated as certain without explaining how you will confirm the work is completed. Develop these points with a clearer rationale and a more complete cover arrangement to make the response more fully supported.
Coherence and Cohesion: Band 6.5
The information follows a sensible order: complaints first, their significance next, and proposed solutions afterwards. This gives the letter an overall coherent structure, and the closing sentence reinforces the action plan. Some connections between ideas are less clear because several points are crowded into long sentences, particularly the opening complaint list and the sentence beginning “I contacted the AC and Wi-Fi company.” Paragraphing would help distinguish the complaints, their impact and the recommendations. The transition from the receptionist’s lunch-break problem to putting up a board is also abrupt, since the board informs visitors but does not provide assistance. Use clearer sentence boundaries and link each proposed action directly to the problem it addresses.
Lexical Resource: Band 6.0
You use an adequate range of vocabulary for the situation, including “intermittent internet,” “urgent need,” “reputation,” “brand” and “maintenance.” These choices communicate the main concerns and proposed actions, and some wording is appropriately formal for a workplace letter. However, several expressions are imprecise or awkward, such as “provide you feedback,” “AC not cooling enough” and “people have come with urgent need to find no one is available.” There are also spelling errors, including “receiption” and “ruine,” which reduce accuracy. Aim for more natural collocations and precise descriptions—for example, explain that visitors found the desk unattended when they needed assistance. Proofreading spelling and word forms would strengthen control.
Grammatical Range and Accuracy: Band 5.5
The letter includes both straightforward statements and attempts to combine related ideas, as in “I contacted the AC and Wi-Fi company which we had used before they would perform maintenance.” The main message remains understandable, but some sentence structures are difficult to follow because clauses are joined without clear punctuation or grammatical links. For example, the opening complaint sentence runs several points together, and “Reception is very important to our companies reputation, it represents our brand” joins two independent clauses with a comma. There are also errors in forms such as “she doesn't have any one to cover for her when she is on lunch break.” Use shorter, complete sentences where needed, and check clause boundaries, possessives and article use.
