Student answer (Band 6.0)

Dear Sir,

As you already know there has been various complaints we have received so far about the mess created at reception area because of huge stock of files unarranged, no cleanliness and delay in serving visitors of our company.

The reception area is a first point of arrival for visitors and complaints been received that the employee at receiving area are not properly filing the paper in respective folders and files, which is causing huge pile of important papers like visitors record, detailed information about the visit and other important matter regarding company visit. In addition to this, It has been also found that there is no required cleanliness at the reception area, such as it is not dusted, not sweeped properly and even not moped many times.

Furthermore, the reception area is very important for the company's reputation due to many reasons like, it is the first point of contact for the visitors for official visit. Apart from this, it is also place where visitors gets direction about their business to be conducted and the contact details of the person for whom the visitors has arrived to met.

I would also like to suggest that we can provide shelves to arrange, collect and store various folders and files. Secondly, we should contact our vendor responsible for provifind cleaning services and file a complaint, if necessary.

Yours Sincerely,

John Dutton

Task Achievement / Task Response: Band 6.5

You address all three requested points: you describe complaints about disorganised files, poor cleanliness and delays, explain that reception is visitors’ first point of contact, and suggest shelves and contacting the cleaning vendor. The purpose of the letter is clear and the suggestions are relevant. The explanation of why reception matters is supported with practical functions, such as directing visitors and providing contact details. However, the complaints and proposed actions are not equally developed: the delay in serving visitors is mentioned but not explained or addressed in your recommendations. To strengthen the response, connect each complaint to a specific remedy and explain how the changes would improve visitors’ experience and the company’s image.

Coherence and Cohesion: Band 6.5

The letter has a recognisable structure, with an opening, separate paragraphs for the complaints, the importance of reception and recommendations, and an appropriate closing. Linking phrases such as “In addition to this,” “Furthermore” and “Apart from this” help show relationships between points. Overall, the reader can follow the progression. Some connections are less clear because the first paragraph introduces several complaints, while the next paragraph repeats and expands on some of them without clearly distinguishing the issues. The final recommendations also feel brief compared with the preceding explanation. Grouping each complaint with its consequence and then matching it to a remedy would make the progression more direct and cohesion less dependent on formulaic transitions.

Lexical Resource: Band 5.5

You use relevant vocabulary for the situation, including “reception area,” “visitors,” “folders,” “reputation” and “cleaning services,” so the main ideas are understandable. There are also attempts at more specific expressions, such as “first point of contact.” However, several word choices and collocations are inaccurate or awkward, including “huge stock of files unarranged,” “mess created at reception area” and “file a complaint” when proposing action with the vendor. Spelling and word-form errors such as “provifind” and “moped” also reduce precision. Aim for natural workplace phrasing and check spelling carefully; for example, describe files as “piled up and poorly organised” and ask the vendor to “address the cleaning issues.”

Grammatical Range and Accuracy: Band 5.5

You attempt both simple and more complex sentence forms, including a sentence beginning “In addition to this” and a longer explanation of reception’s role. The overall meaning is generally recoverable, but some grammatical errors recur and occasionally make sentences difficult to process. Examples include “there has been various complaints” (agreement), “complaints been received” (missing auxiliary), and “the visitors has arrived to met” (agreement and verb form). Articles and sentence construction also need attention in phrases such as “at reception area” and “it is also place.” Practise checking each sentence for a clear subject and finite verb, then review agreement, articles and verb forms. Breaking the longest sentences into shorter units would also improve control.
