Student answer (Band 6.0)
Dear Mr Anthony,
I hope this letter finds you well, I am writing this letter to your request for some suggestions on the improvemnt of the reception area. when the visitors are coming they are giving serveral complaints about that.
I went through those complaints and it was mentioned that the reception area is always over crowded and there is no chairs available where people can sit and wait for their turn, in addition to it there is no sign board in this case people are having difficulties locating the area, the overall look of the area doesn't look attractive so we need to get little bit of modification so that it can look attractive.
As there is a saying first impression is the last impression reception area is the first thing visitor notice as he arrives if its beauiful it gives a positve response. In regards making our reception area more attractive i will take some necessary steps like changing the old chairs with some attractive new one, getting brighter lights putting sign boards so that it would be easy for our customers to locate our office.
Thanking you
Abhishek

Task Achievement / Task Response: Band 6.5
You address all three points: you report overcrowding, a lack of chairs and signs, explain that reception creates visitors’ first impression, and suggest new chairs, brighter lighting and signboards. These are relevant and practical responses, so the purpose of the letter is clear. The complaints and proposed changes are more fully covered than the importance of reception, which is explained mainly through the general saying about first impressions. To strengthen the response, explain more specifically how a welcoming, easy-to-navigate reception benefits visitors and reflects the company. The suggestions would also be more persuasive if you linked each one directly to a complaint and stated how it would improve the visitor experience.
Coherence and Cohesion: Band 6.5
The letter has a recognisable structure: an opening, a paragraph describing complaints, and a final paragraph explaining importance and offering solutions. The ideas generally progress in a sensible order, and connectors such as “in addition” and “so that” help show relationships. However, several points are crowded into long sentences, particularly the list of complaints, which makes the progression less smooth. The final paragraph also combines the explanation of importance with the recommendations, while the closing is abrupt. Use clearer sentence boundaries and consider giving the importance and proposed improvements separate, focused sections. More precise referencing would also help readers follow which solution addresses each complaint.
Lexical Resource: Band 5.5
You use enough vocabulary to communicate the main points, including “over crowded,” “locating the area,” “first impression,” and “brighter lights.” There are also attempts at more specific expressions, such as “necessary steps” and “attractive.” However, spelling errors and imprecise or unnatural combinations reduce accuracy: “improvemnt,” “serveral,” “beauiful,” and “positve” should be corrected, while “sign board” and “little bit of modification” are not the most natural choices in this context. Some wording is repetitive, especially “attractive,” and “customers” may be less suitable than “visitors” for the people described. Aim for accurate spelling and more precise collocations to make the letter sound professional.
Grammatical Range and Accuracy: Band 5.0
You attempt both simple and more complex sentence forms, including a clause beginning “so that,” and the main message remains understandable. However, sentence boundaries and clause construction are not consistently controlled. For example, “I hope this letter finds you well, I am writing…” joins two complete clauses with only a comma, and “when the visitors are coming they are giving…” has an awkward tense pattern. There are also errors in articles, agreement and sentence structure, as in “first thing visitor notice” and “some attractive new one.” Use full stops or suitable conjunctions to separate ideas, and check subject–verb agreement, articles and singular/plural forms. More accurate control of these patterns would make your recommendations easier to read.
